Using Batch Actions in Equip

Learn how to use Batch Actions in Equip to update participants, manage team member workflows, and generate document ZIP files.

Batch Actions let you select multiple records from a list and apply the same action to all selected items at once. Equip uses batch actions for participant updates, team member access workflows, and document ZIP downloads.

Batch actions are different from imports. Use imports when you need to create many new records from a spreadsheet. Use Batch Actions when the records already exist in Equip and you want to update or package several of them at the same time.


How It Works

  1. Open a page that supports batch actions, such as Participants, Team Members, or Documents.

  2. Select Batch Actions.

  3. Choose the action you want to run.

  4. Select the eligible rows using the checkboxes that appear.

  5. Use Select All or Select All on Page when available.

  6. Complete any required fields in the action bar.

  7. Select the action button in the action bar to apply the change.

Some rows may not be selectable for a specific batch action. Equip only enables rows where the selected action applies.


Participant Batch Actions

Participant batch actions are available from the Participants page.

  • Add to Group - adds selected participants to one or more groups. If your permissions allow group creation, you can also create a new group while completing the batch action.

  • Assign Supporter - assigns selected participants to one or more team members in a supporter-style role. The exact label uses your account's configured supporter term.

  • Send App Invite - sends mobile app invitations to selected participants who are eligible to receive an app invitation. This action is not available for CRP accounts.


Team Member Batch Actions

Team member batch actions are available from the Team Members page.

  • Send Invite - sends or resends invitation emails to selected existing team members who have not accepted an invitation. Your own account and team members who already accepted are not selectable for this action.

  • Enable Web Access - turns on web browser access for selected active team members who currently show Web Access as False. This batch action only enables web access; it does not disable it.


Document Batch Actions

Document batch actions are available from the main Documents page and from a participant's Documents page.

  • Generate Zip File - packages selected documents into one ZIP file. You can enter an optional file name and choose whether to save the ZIP back to Documents. Equip prepares the ZIP in the background and emails you when it is ready.


Benefits

  • Save time - update or package several records without opening each one individually.

  • Keep workflows focused - each page only shows the batch actions that apply to that type of record.

  • Reduce mistakes - rows that are not eligible for the selected action are not selectable.

  • Work across filtered lists - use search and filters before starting a batch action to narrow the list.


Options

  • Select All selects all visible eligible rows when the list is not paginated.

  • Select All on Page selects all eligible rows on the current page when pagination is present.

  • Deselect All clears the current selection.

  • Cancel exits batch selection without applying the action.

  • The action button stays disabled until the required selections or fields are complete.


Best Practices

  • Use filters before selecting Batch Actions so the list only shows the records you want to work with.

  • Check the selected count before applying the action.

  • Review disabled or hidden checkboxes as a sign that the selected action does not apply to those rows.

FAQs

Where do I find Batch Actions?
Batch actions appear in the list filter area on supported pages, including Participants, Team Members, and Documents.

Why do I not see a Batch Actions menu?
The menu only appears when your permissions and the current page support at least one batch action.

Why are some rows not selectable?
Some actions only apply to certain records. For example, Enable Web Access only applies to active team members who do not already have web access.

Are batch actions the same as imports?
No. Imports create many new records from a spreadsheet. Batch actions update or package records that already exist in Equip.

Can I undo a batch action?
Some changes can be adjusted later from the individual record, but batch actions do not have a single undo button. Review your selections before applying the action.
