Downloading Multiple Documents as a ZIP File

Learn how to select multiple documents and generate one ZIP file for download or storage in Documents.

Bulk ZIP downloads let you select multiple documents and generate one ZIP file from the Documents list. This makes it easier to download several files at once, share a packaged set of documents, or save a combined ZIP back into Documents for later access.


📄 How It Works

  1. Open the main Documents page or a participant’s Documents page.

  2. Select Batch Actions.

  3. Choose Generate Zip File.

  4. Select the documents you want to include. Use Select All or Select All on Page when available.

  5. Optional: enter a custom file name in File name (optional).

  6. Optional: select Save to Documents. On a participant’s Documents page, this appears as Save to [Name]’s Documents.

  7. Select Generate Zip.

Equip prepares the ZIP file in the background. When it is ready, you receive an email with a Download ZIP button.

  • Download multiple documents at once — Package selected documents into one ZIP file instead of downloading each file separately.

  • Save time on document handoffs — Prepare a group of files for review, sharing, or offline storage in one step.

  • Keep a copy in Equip — Use Save to Documents to store the generated ZIP as a new document.

  • Use secure download links — The emailed download link is available to the requesting user and expires after 1 hour.


⚙️ Options

  • File name — If you leave the file name blank, Equip creates documents.zip. If you enter a custom name, Equip uses that name and adds .zip.

  • Save to Documents — Saves the generated ZIP back into the current Documents area. From a participant’s Documents page, the ZIP is saved to that participant’s documents.

  • Deselect All — Clears your current selections before generating the ZIP.

  • Cancel — Exits batch selection without creating a ZIP file.


💡 Best Practices

  • Use a clear file name when preparing documents for a specific participant, program, report, or date range.

  • Review your selected document count before selecting Generate Zip.

  • Use filters or search first if you only need documents from a certain category or participant.

  • Open the emailed Download ZIP link within 1 hour.

  • If a document is still processing, deselect it and try again after the document is ready.

Where can I generate a ZIP file?
You can generate a ZIP file from the main Documents page or from a participant’s Documents page.

Who can use this feature?
Users who have access to view the Documents list can use Batch Actions to generate ZIP files. The ZIP only includes documents the user is allowed to access.

What happens after I select Generate Zip?
Equip prepares the ZIP in the background and emails you when it is ready. The email includes a Download ZIP button.

Can I save the ZIP file in Equip?
Yes. Select Save to Documents before generating the ZIP. On a participant’s Documents page, select Save to [Name]’s Documents.

What if two files have the same name?
Equip keeps both files in the ZIP and automatically adjusts duplicate file names, such as report.pdf and report (2).pdf.
