Manage Team Members

Learn how to manage team members in Equip.

Team Members in Equip is where account administrators manage staff, guide, and supporter accounts. Use this page to add team members, import them in bulk, resend invitations, update roles, and control web or mobile access.


Overview

The Team Members page shows the people on your team and their current access status. From this page, you can search and filter your team list, add one team member at a time, import multiple team members, and open a team member's profile settings.


How It Works

  1. Open your profile photo or initials in the top-right corner of Equip.

  2. Select Team Members.

  3. Use Add Team Member to invite one person, or select Import Team Members to upload multiple team members at once.

  4. Use Filter, search, or sorting to narrow the list by name, role, status, group, or join date.

  5. Open a team member to update their profile, access, mobile settings, notifications, availability, authentication, calendar settings, or group settings. Available settings depend on your permissions and enabled account features.


Add a Team Member

  1. Select Add Team Member.

  2. Enter the person's Full Name and email address.

  3. Choose the person's Role.

  4. Add a Title if applicable.

  5. Leave Send Invite Email enabled if you want the person to receive an invitation email right away.

  6. If the selected role supports optional web access, review Enable Web Access. For designated-access roles, choose the supported participants this team member should be able to access.

  7. Select Add Team Member to save the new team member.


Import Team Members

Use Import Team Members when you need to add several team members at once. The uploaded Excel file should include at least name, role, and email columns.

  • Equip previews the upload before import.

  • Rows that already match existing users are shown as invalid so they can be corrected before importing.

  • When eligible, you can choose whether to send invite emails as part of the import.


Manage Existing Team Members

  • Search and filter - Find team members by name, role, status, or group.

  • Review status - Team members may appear as Active, Inactive, Not Invited, or Invited.

  • Send or resend invitations - Use the row menu or batch actions when available.

  • Enable web access - Use the row or batch action options when the team member is active and does not already have web access.

  • Edit profile settings - Open a team member and select Edit Profile to update their information.


Access and Mobile Settings

A team member's Access settings control their account status, role, web access, supported participants, and mobile access when those options apply.

  • Status controls whether the team member is active or inactive for the account.

  • Role controls the team member's permissions.

  • Web Access Enabled controls whether eligible team members can use Equip in a web browser.

  • Supported Participants controls which participants a designated-access team member can access.

  • Mobile Access Enabled controls whether the team member can access Equip from the mobile app.


User Custom Fields

User custom fields are managed from Account Settings under User Fields. These fields can appear on user profiles in sections such as demographic, medical, legal, enrollment, contact, or additional information.

  • Supported field types include text, number, date, boolean, select, and multi-select.

  • Custom fields can apply to all users, participants only, or team members only.

  • After a custom field has recorded values, only its name and placement can be changed. Its field type, options, and audience are locked to protect existing data.

Best Practices

  • Choose the most specific role that gives each team member the access they need.

  • Use designated participant access when a team member should only support specific participants.

  • Review inactive and invited users regularly so your team list stays current.

  • Create user custom fields before importing or updating large groups if your organization needs consistent profile data.


FAQs

Why do I see Team Members instead of Manage Users?
The current Equip navigation labels this area Team Members. Older help content may have called it Manage Users.

Can I add more than one team member at once?
Yes. Use Import Team Members and upload an Excel file with at least name, role, and email columns.

Can I send invitations later?
Yes. You can turn off Send Invite Email when adding or importing eligible team members, then send or resend invitations from the team member list later.

Why do some users have web access settings and others do not?
Web access settings depend on the team member's role. Some roles always have web access, while designated-access roles may show an optional web access setting.

Where do user custom fields show up?
User custom fields appear on profile sections based on the field's location and user type settings.
