Importing Your Team

Learn how to import multiple team members into Equip using a spreadsheet to save time and streamline user onboarding.

If you’re managing a large team, adding each user one-by-one can slow you down. Equip makes it easy to import multiple users at once using a simple Excel upload—saving time and minimizing errors.

📥 Start the Import Process

  • Sign in to your Equip account

  • Click your Initials or Avatar in the top-right corner

  • Select Team from the dropdown

  • Click Import Users in the top-right

  • Drag and drop your Excel file into the upload box or click to select it

  • Follow the on-screen prompts to complete the import

📊 Required Columns for Upload

Your spreadsheet must include these columns:

  • name

  • email (must be unique for each user)

  • role (e.g., mentor, admin, owner)

📄 Optional Columns (User Fields You Can Include)

Equip accepts any standard user fields. Some commonly used ones:

  • title

  • pronouns

  • phone

  • sex

  • bio

  • office_phone

  • race

  • ethnicity

🔤 Accepted Values for Enum Fields

  • Role: mentor, admin, owner

  • Sex: male, female, undisclosed

  • Race:

    • american_indian_or_alaska_native

    • asian

    • black_or_african_american

    • native_hawaiian_or_other_pacific_islander

    • white

    • two_or_more_races

    • other_race

  • Ethnicity:

    • hispanic_or_latino

    • non_hispanic_or_latino


⚠️ Important Notes

• Each email must be unique (no duplicates)

Date fields should be formatted as YYYY-MM-DD

Time fields should be formatted as HH:MM

Boolean fields must use true or false

• The status field controls whether the account is active or inactive


Equip Tip: Need help building your spreadsheet? Start with just the required columns, then expand as you get more comfortable. You can always edit user details later!
