Delete a Participant

Learn how to delete a participant, when to discharge instead, and when deletion should be avoided.

Deleting a participant permanently removes that person and their associated data from Equip when the record is eligible for deletion. In most cases, we do not recommend deleting a participant. It is usually better to discharge the participant, which sets them to inactive and preserves the information you may still need, and reserve deletion for accidental or test accounts that should not remain in the system.


⚙️ How it works

  1. Open the participant’s profile in Equip.

  2. Go to General.

  3. Scroll to the red Delete [User Name] section near the bottom of the page.

  4. Select Delete [User Name].

  5. In the confirmation modal, review the warning that the action cannot be undone, then select Yes, Delete.

  6. If Equip shows Request Deletion instead, the participant has associated records that must be preserved and deletion must be handled through support.

  • Protect important historical data by preventing self-service deletion when records must be preserved.

⚙️ Options and requirements

  • The delete section is only available when your role has permission to delete users.

  • You cannot delete your own user record.

  • Users connected to multiple accounts cannot be deleted from this flow.

  • Some users cannot be deleted if they have associated records that must be preserved. In that case, Equip shows Request Deletion instead of the direct delete action.

  • To archive a participant instead of deleting them, go to Access and use Discharge [First Name]. This opens a discharge form with Reason for Discharge, optional Case, Discharge Date, and Discharge Summary, then sets the participant to inactive.


💡 Best practices

  • Do not treat deletion as the default option. In most cases, it is better to discharge the participant instead of deleting them.

  • Reserve deletion for accidental or test accounts that should be permanently removed.

  • Use discharge when you need to mark that services ended while preserving participant history.

  • If deletion is blocked, contact support through Request Deletion rather than trying to work around the restriction.

Should I delete a participant or discharge them?
In most cases, we recommend discharging the participant instead of deleting them. The discharge flow sets the participant to inactive and captures discharge details, which is usually a better fit than permanent deletion.

What happens when I discharge a participant?
Equip opens a discharge form where you can record the discharge details, then sets the participant’s status to inactive.

Can I undo a deleted participant?
No. Equip warns that deleting a person permanently removes their data, and the action cannot be undone.

Why do I see Request Deletion instead of Delete?
That means the participant has associated records that must be preserved, so the deletion must be reviewed and handled through support.

Can I delete a participant who belongs to multiple accounts?
No. Users associated with multiple accounts are not eligible for deletion from this workflow.
