Setting a participant as inactive (discharging them) removes their login access and hides them from active views—without deleting their data. This ensures participant information remains available for filtering, reporting, and documentation and is the recommended method over deletion, which may impact historical records.
👥 Go to the Participants’s Profile
Click Participants from the left-hand navigation
Select the participant you want to discharge
⚙️ Open Profile Settings
From the participant’s profile, click Edit Profile & Settings under their name
📋 Open Access Settings
In the left-hand tabs, click Access
You’ll now be on the Access page, where you can manage status and see the discharge option
🔴 Discharge the Participant
At the top of the profile settings page, select the red Discharge [Participant Name] button
If your organization has Discharge Reasons set up, choose the appropriate reason from the dropdown
Enter a summary explaining why the participant is being discharged
Click Discharge to officially set the participant as inactive
✅ What Happens Next
The participant is now inactive (discharged)
They can no longer log in
They are hidden from most active views
Their records remain available through filters and reports
Their information is no longer editable
Equip Tip: Discharging a participant keeps your workspace clean while preserving historical data for reporting, audits, and accreditation. Unless you’re correcting an error, avoid deleting participants—discharge is the safest and most accurate option.
