Archiving a User

Learn how to set a user as inactive (archive them) in Equip to remove access without deleting data.

Archiving a user removes their login access and hides them from active views—without deleting their data. This ensures their information stays available for filtering, reporting, and documentation. This is the recommended method over deletion, which may impact past data entries.


👥 Go to the User’s Profile

  • For Team Members, click Team from the left-hand navigation, then select their name.

  • For Participants, click Participants, then select the individual you want to archive.


⚙️ Open Profile Settings

  • From the user’s profile, click Edit Profile & Settings under their name.


📉 Change Active Status

  • Find the Active dropdown field.

  • Change the setting from Active to Inactive.

  • Click Save to confirm.


✅ What Happens Next

  • The user is now inactive (archived).

  • They can no longer log in.

  • They are hidden from most views, but their records remain available through filters and reports.


Equip Tip: Archiving keeps your workspace clean without losing important data. Unless you’re correcting an error, avoid deleting users—archiving is safer for audit trails and long-term documentation.
