Establishing Routines
Equip allows Admins and Mentors to create both Scheduled Routines within the Calendar and Flexible Routines within the Routine Library. This guide walks you through how to set up and manage each type of routine effectively, including the AI-powered Generate Tasks feature.
Choosing between Scheduled Routines and Flexible Routines
Both Scheduled Routines and Flexible Routines help users complete step-by-step checklists for multistep tasks. The key difference is how they are accessed:
Scheduled Routines – Best for time-specific or recurring routines (e.g., morning hygiene routine). These appear in the Calendar and send reminders.
Flexible Routines – Best for occasional tasks (e.g., laundry routine). These remain in the Routine Library and can be accessed when needed.
Creating a Scheduled Routine
Scheduled Routines are tied to the Calendar and serve as reminders for regularly occurring tasks
Steps to Create a Scheduled Routine:
Sign into Equip.
Click on Calendar in the navigation menu.
Click “Add a Routine.”
Enter routine details:
Routine Name
Category
Tags (optional)
Date & Start Time
Description (overview of the routine)
Click “Add Tasks” to create step-by-step instructions.
Use AI to Generate Tasks (Optional):
Click “Generate Tasks” to have AI create a structured task list.
The AI will generate up to 8 steps with a maximum of 5 words per step, at a 5th-grade reading level.
Users can edit, remove, or reorder the AI-generated tasks.
Manually Add or Edit Tasks (Optional):
Click “Add Task” to manually enter tasks.
Provide a task name, description, and optional image for each step.
Select the User(s) or Group(s) to assign the routine.
Set Routine Reminders (Optional)
Configure multiple reminders before or after the scheduled start time.
Reminders can be sent via push notification, email, or in-app alerts.
Click “Create Routine.”
The Scheduled Routine will now appear on the Calendar, and users will receive reminders based on the selected settings.

Scheduled Routines allow multiple reminders at custom intervals.
Notifications can be sent via push, email, or in-app alerts.
Users are directed to the Routine Description and Checklist upon clicking the notification.
Creating a Flexible Routine
Flexible Routines are stored in the Routine Library and serve as a reference for occasional tasks.
Steps to Create a Flexible Routine:
Sign into Equip.
Click on Routines in the navigation menu.
Click “Create Routine.”
Enter routine details:
Routine Name
Category (optional)
Video Link (optional)
Description (overview of the routine)
Use AI to Generate Tasks (Optional):
Click “Generate Tasks” to have AI suggest steps.
Review and edit the AI-generated tasks as needed.
Manually Add Tasks (Optional):
Click “Add Task” to enter steps manually.
Provide a task name, description, and optional image for each step.
(Optional) Toggle “Request Photo Proof” if users should upload a photo upon completion.
Attach guidance images to show what success looks like.
Search for User(s) or Group(s) to share the routine with.
Click “Save Routine.”
The Flexible Routine will now be visible in the Routine Library, allowing users to access it whenever needed.
