Adding Routines to the Calendar

Learn how to add Routines to the Calendar and when to use Data Collection for Forms and Assessments.

Routines help bring structure to daily life and promote Participant independence. In Equip, you can add routines directly to the Calendar—either from the global calendar (to link routines to multiple Participants) or from an individual’s personal calendar (for routines specific to them).


🛠️ Open the Calendar

  • Log in to Equip.

  • Click Calendar from the left-hand menu.

  • Select Add Routine in the top-right corner.

📋 Choose or Create a Routine

  • From the Routine dropdown, select an existing routine from your library.

  • Or, click + Create New Routine to build a new one from scratch.

🧩 Set Up a New Routine (if needed)

  • Add a Title and select a Category (for color-coding).

  • Choose a Start Date and Time.

  • Add a Description if needed—links, emails, or phone numbers are tappable in the mobile app.

  • Use the New Task box to enter each step.

🔁 Enable Recurrence (Optional)

  • Toggle Recurring Routine on.

  • Set how often it repeats (daily, weekly, or monthly).

  • Add an End Date if the routine will stop after a certain time.

👥 Assign and Schedule

  • Use the Search bar to select users or groups.

  • Click Schedule Routine to finish.

  • The routine will now appear on all assigned users’ calendars.

  • Assigned users receive a reminder when it is time to start their routine, based on their notification settings.


📄 Forms and Assessments

Use Routines for step-by-step activities. Do not use a Routine task to request a Form or Assessment submission.

If the goal is to collect check-in answers, progress ratings, or monthly outcome data, create a Calendar event instead and use the event’s Data Collection section:

  • Use Request Form to collect general information or documentation.

  • Use Request Assessment to collect ratings, scores, or outcome measures that should be tracked over time.

  • For recurring check-ins, make the Calendar event recurring. Future event occurrences keep the same data collection settings.


📌 Best Practices

  • Use categories and colors to keep routines organized.

  • Set routines to repeat for consistent task-based workflows.

  • Add useful info (like contacts or links) to the description.

  • Use Data Collection on Calendar events when you need participants or team members to complete a Form or Assessment.


Equip Tip: Routines are best for guided tasks and independence-building activities. Forms and Assessments are requested through Calendar event data collection when you need submitted answers.
