Introduction to Routines

Learn how to use routines, filter the Routine Library, and manage routine activity in Equip.

Routines help users complete repeatable tasks with clear, step-by-step guidance. Use the Routine Library to create, organize, share, and manage routines for your organization or for an individual participant.


What are routines?

A routine is a checklist or task flow that guides someone through an activity. Routines can include task instructions, descriptions, guidance images, video links, completion notifications, and photo requests.

Routines can be shared with individuals, added to the calendar for scheduled reminders, and reviewed later to understand completion activity.


Where to find routines

  • Routine Library - Open Routines from the navigation menu to manage organization-wide routines.

  • Participant routines - Open a participant profile and select Routines to view routines created for or shared with that participant.


Filter the Routine Library

Use the search and filter tools to find the routines you need faster. The Routine Library search supports routine names and tags.

  • Search - Use Search routines by name or tag... to find routines by routine name or tag name.

  • Categories - Use Filter to narrow routines by category.

  • Tags - Use Filter, then choose one or more values under Tags. The list defaults to All Tags.

  • Has Goals - Turn on Has Goals to show only routines connected to goals.

The same tag search and tag filter are available when viewing an individual participant's routines.


Create or update routine tags

When creating or editing a routine, use the Tags field to add tags. Tags make routines easier to find through search and filtering.


Routine features

  • Smart descriptions - Links, phone numbers, and email addresses added to the description can be opened from the mobile app.

  • Guidance media - Add images or a video link to help show what successful completion looks like.

  • Photo Requests - Ask users to submit a photo when they complete a routine.

  • Completion Notifications - Notify the appropriate people when a routine is completed.

  • Task Generation - Use AI to generate a starter task list from the routine name.

  • Custom Task Creation - Manually add tasks with titles, descriptions, and images.


How routines work

  • Users can view and check off each step as they complete a routine.

  • Users can access assigned routines from their routine library.

  • Scheduled routines can send reminders through the calendar.

  • Staff can review routine completion activity to understand consistency and support needs.
