Event reminders are set on the event itself, and every registrant gets one. A reminder is a push notification to the Equip mobile app, sent the chosen number of minutes before the event starts to everyone registered who has accepted their invitation and has Event Reminders turned on. Reminders set on an event created on the web are pushed to registrants the same way as reminders set in the app; there is no separate per-person reminder.
Participants are called Clients, Students, Residents or Explorers depending on your account type; this article says participant.
Who can set reminders, and where
On the web, anyone who can create or edit the event (Calendar level Supporter or Administrator, or the event's creator), under Reminder Settings on the event form. An event can have several reminders.
In the mobile app, the event's creator, with Remind Me when creating or editing the event. The app offers one reminder per event.
Each person controls whether they receive them under their profile's Notifications (Event Reminders and Routine Reminders) on the web, or Settings in the app.
Add or change a reminder on the web
Open the event and select Edit Event, or start a new event.
Under Reminder Settings, select Add Reminder.
Choose 5, 10, 15, 30 or 45 Minutes Before, 1 or 2 Hours Before, 1 or 2 Days Before, 1 or 2 Weeks Before, or Custom and enter the minutes.
Add more reminders if you want several, or select the red delete icon to remove one.
Select Add Event or Update Event. For a recurring event, turn on Update Future Events so every future occurrence gets the change.
The event page lists them under Reminders, for example "15 Minutes Before".
What the reminder looks like
Push notification titled "Event is coming up!" (or "Routine is coming up!") with "[Title] is beginning in 15 minutes! Tap here to see." When check-ins are on, it adds "Make sure to check-in when you arrive!". Tapping opens the event in the app.
When a general event has Allow Check Outs on, successfully sending an event-start reminder to eligible recipients also schedules the checkout reminder for the event’s end. Allow Check Outs alone does not schedule that push; event notifications must be enabled and a start reminder must actually be sent.
Reminders are not emailed and are not shown on the web.
Limits and gotchas
A reminder only goes to people who have the Equip app installed and signed in on a device. Someone using only the web gets nothing.
The account setting Event Notifications Enabled under Account Settings > Notifications must be on, or no reminders are sent.
If you save an event that starts sooner than the reminder time (for example a 30-minute reminder on an event starting in 10 minutes), that reminder is skipped.
Moving an event to a later time reschedules its reminders. A reminder is sent once per occurrence.
Reminders on routine-type items follow the person's Routine Reminders toggle instead.
Reminders set on an occurrence do not apply to other occurrences unless you save with Update Future Events.
FAQ
Are reminders set on the web sent to the participant's phone?
Yes. A reminder added under Reminder Settings on the web is pushed to every registrant's Equip app at the chosen time. It is the same reminder whether the event was created on the web or in the app.
Why did a participant not get the reminder?
They must be registered for the event, have accepted their Equip invitation, have the app signed in on their phone, and have Event Reminders on in Settings. The account's Event Notifications Enabled setting must also be on. Reminders are never emailed.
Can I set a reminder for just one person?
No. Reminders belong to the event and go to every registrant. To remind one person only, create a separate event for them or send them a message.
Can I have more than one reminder?
On the web, yes: add as many as you like, for example one day before and 15 minutes before. The app lets the creator set one.
How do I turn reminders off for someone who finds them distracting?
On their profile, open Notifications and turn off Event Reminders (or Routine Reminders). They can do the same in the app under Settings. Other event notifications are not affected.
Do reminders apply to every date of a recurring event?
Yes, when the reminder is on the series. Each occurrence has its own copy. If you add a reminder to one occurrence later, save with Update Future Events to add it to the rest.
