People get onto an event in two ways: a team member adds them under Registrants on the web, or they register themselves in the mobile app under Register. Self-registration only works for events where it is switched on: Allow [Participant] Registration for participants and Allow Team Member Registration for team members. Registration has no cut-off time; an event stays open until it is full, but the new app’s Register list includes upcoming events and events that started within the previous 30 minutes.
Participants are called Clients, Students, Residents or Explorers depending on your account type; this article says participant.
Who can register, and where
Participants: in the mobile app, for events with Allow [Participant] Registration on, until Max Registrants is reached.
Team members and administrators: in the mobile app, for events with Allow Team Member Registration on, until Members Needed is reached unless overbooking is allowed. Administrators see every such event in the account, not only their own.
Staff on the web: anyone who can edit the event can add or remove any registrant they are allowed to see by editing the event, regardless of the registration settings or timing.
Register in the mobile app
Open Schedule and tap Register.
Find the event; the list shows how many are going and spots left.
Tap Add. For a repeating event choose Just this one, Choose dates or Every occurrence.
The button changes to Going and the event appears on your Schedule.
You can also open any event you can see and tap Register on its details page; for a series it asks This event only or This and all future events.
Cancel a registration
Open the event, tap the three-dot menu, then Cancel registration, and confirm "You'll give up your spot for this event."
If the event has a Cancellation Approver, the option is Request to unregister. The approver gets a task and an email, and approves or denies it on the web. Until then the event shows "Cancellation request pending".
Participants can cancel while the event still allows participant registration. Team members can cancel at any time.
On the web, staff remove someone by editing the event and removing them from Registrants.
Limits and gotchas
"Event full" in the app means Max Registrants (participants) or Members Needed without overbooking (team members) has been reached. Staff can still add people on the web.
There is no registration deadline. The new app’s Register list starts 30 minutes before now. An older event opened through another route may still allow registration if its settings and capacity permit it; staff can also add registrants on the web.
Registration for a series from the app applies from the chosen date forward, never to past dates.
Removing a registration deletes that person's check-in and check-out times for that event.
Adding someone on the web sends them a push notification and email "You've been registered for an event!"; self-registration sends no confirmation beyond the event appearing on Schedule.
Team members cannot register from the web calendar; they join in the app or are added by someone editing the event.
FAQ
Why can a participant not see an event under Register?
Check that participant registration is enabled, the event has capacity and the participant is not already registered. The new app’s Register list excludes events that started more than 30 minutes ago. Registered events appear on Schedule instead.
Can someone register after the event has started?
Yes, if registration is enabled and there is room. The new app’s Register list includes upcoming events and events that started within the previous 30 minutes. An older event opened another way may still allow registration; a team member can also add the person on the web.
Why does a team member not see the event under Register?
Only events with Allow Team Member Registration on appear for team members. Edit the event and turn it on, or add the team member under Registrants.
How do I set a limit on sign-ups?
On the event, set Max Registrants under Allow [Participant] Registration, or Members Needed under Allow Team Member Registration. Turn on Allow Team Member Overbooking to let team members keep joining past the target.
Someone registered by mistake. How do I remove them?
Edit the event on the web and remove them from Registrants, or have them cancel in the app. Their check-in data for that event is deleted with the registration.
Do people get notified when they are added?
Yes, when a team member adds them on the web: a push notification and an email, provided Event Notifications Enabled is on for the account and they have accepted their invitation.
Can a participant register someone else?
No. In the app people register only themselves. Staff add others on the web.
