Pathway Invoices Report

Learn how to run the Pathway Invoices Report and understand its filters, summary worksheet, and detail worksheet.

The Pathway Invoices Report exports invoice data for pathway authorizations so your team can review invoice-level totals and line-item billing details in one workbook. It is useful for tracking what has been invoiced, understanding which pathway steps were billed, and validating amounts before reconciliation or follow-up.


πŸ“„ What this report measures

This report measures invoiced pathway authorization activity across two worksheet views. The Summary worksheet shows one row per invoice. The Details worksheet shows one row per invoice line item.

Because one invoice can include multiple line items, a single invoice may appear once in the summary worksheet and multiple times in the details worksheet.

  1. Go to Reporting.

  2. Open the Pathways tab.

  3. In the Report dropdown, select Pathway Invoices.

  4. Choose any filters you want to apply, including invoice dates, service begin dates, authorizers, pathways, and pathway steps.

  5. Click Generate to create the export.

The Pathway Invoices Report includes two worksheets: Summary and Details.

The summary worksheet includes one row per invoice and can include these columns:

  • Account β€” included for umbrella exports to identify the related sub-account.

  • ID β€” the invoice record ID.

  • Invoice Number β€” the invoice number.

  • Participant β€” the participant tied to the authorization linked to the invoice.

  • Case ID β€” the related case number or numbers associated with the authorization progress records.

  • Authorization Number β€” the linked authorization number.

  • Authorization Issue Date β€” the issue date of the linked authorization.

  • Authorization Begin Date β€” the begin date of the linked authorization.

  • Authorization End Date β€” the end date of the linked authorization.

  • Authorizer Name β€” the authorizer associated with the invoice.

  • Attn β€” the invoice attention field.

  • Invoice Date β€” the invoice date.

  • Service Begin Date β€” the invoice begin date.

  • Service End Date β€” the invoice end date.

  • Line Items Count β€” the number of billed line items on the invoice.

  • Total Amount β€” the total invoice amount.

  • Creator Name β€” the user who created the invoice.

The details worksheet includes one row per invoice line item and can include these columns:

  • Use the Summary worksheet when you want invoice-level totals and overall billing context.

  • Use the Details worksheet when you want to see exactly which pathway steps make up each invoice.

  • If one invoice has multiple billed steps, the same Invoice Number will appear on multiple rows in the details worksheet.

  • Line Items Count in the summary worksheet helps explain why an invoice may expand to multiple detail rows.

  • Total Amount in the summary worksheet represents the invoice total, while Total Amount in the details worksheet represents the billed amount for one line item.

  • Use Service Begin Date and Service End Date in the summary worksheet to understand the service window the invoice covers.

Why do I see one invoice in the Summary worksheet but multiple rows in the Details worksheet?
The summary worksheet has one row per invoice. The details worksheet has one row per invoice line item, so invoices with multiple line items appear more than once there.

What is the difference between Invoice Date and Service Begin Date?
​ Invoice Date is the date of the invoice itself. Service Begin Date reflects the service start date recorded on the invoice.

Why would the same participant appear on multiple detail rows?
A participant can appear on multiple detail rows when their invoice includes multiple billed pathway steps.

Can I filter this report by authorizer?
Yes. Use the Authorizers filter before generating the report.

Can I narrow the report to a specific pathway step?
Yes. Use the Pathway Steps filter to limit the export to specific pathway steps.
