The Pathway Authorizations Report exports authorization data for pathway services so your team can review authorized steps, dates, rates, units, and amounts in one place. It is useful for monitoring authorization activity, validating billing readiness, and understanding how pathway step authorizations map back to participants and pathways.

πŸ“„ What this report measures

This report measures authorization records at the pathway step level. Each exported row represents a specific authorized pathway step tied to a participant authorization, not just a single participant or a single authorization header.

That means one participant authorization can produce multiple rows when multiple pathway steps are authorized under the same authorization.

βš™οΈ How it works

  1. Go to Reporting.

  2. Open the Pathways tab.

  3. In the Report dropdown, select Pathway Authorizations.

  4. Choose the filters you want to apply, including status, pathway, participant, group, and date-based filters.

  5. Select the columns you want included in the export.

  6. Click Generate to create the report.

βœ… Benefits

  • Track authorization activity across participants and pathways.

  • Review important authorization dates such as issue, begin, billed, and paid dates.

  • Validate step-level billing details including rate, units, and total authorized amount.

  • Audit pathway authorization usage before invoicing or reconciliation work.

βš™οΈ Filters and options

  • Status filters the report by authorization status.

  • Pathways limits the report to specific pathways.

  • Issue Date filters by the authorization issue date.

  • Begin Date filters by the authorization begin date.

  • Billed Date filters by the billed date on the authorized pathway step.

  • Paid Date filters by the paid date on the authorized pathway step.

  • Users filters the report to specific participants for non-umbrella accounts.

  • Groups filters the report to specific groups for non-umbrella accounts.

  • Column selector lets you choose which fields appear in the final export.

  • Account selection is available when your reporting view supports multi-account filtering.

πŸ“Š Columns included in the export

The Pathway Authorizations Report can include the following columns:

  • Account β€” included for umbrella exports to identify the related sub-account.

  • Authorization Number β€” the authorization identifier.

  • User β€” the participant tied to the authorization.

  • Counselor β€” the counselor associated with the authorization.

  • Authorization Issue Date β€” the issue date for the authorization.

  • Authorization Begin Date β€” the begin date for the authorization.

  • Authorization End Date β€” the end date for the authorization.

  • Authorization Billed Date β€” the billed date for the authorized pathway step.

  • Authorization Paid Date β€” the paid date for the authorized pathway step.

  • Pathway β€” the pathway associated with the step authorization.

  • Pathway Step β€” the pathway step name.

  • Pathway Step Code β€” the code assigned to the pathway step.

  • Pathway Step Start Date β€” the start date recorded for that step.

  • Pathway Step End Date β€” the end date recorded for that step.

  • Authorized Rate β€” the approved rate for the pathway step.

  • Authorized Units β€” the approved units for the pathway step.

  • Authorized Amount β€” the total authorized amount for the pathway step.

πŸ”Ž How to interpret the results

  • Each row represents one authorized pathway step, not one participant overall.

  • If the same Authorization Number appears more than once, that usually means multiple pathway steps were authorized under that authorization.

  • Authorization Issue Date, Authorization Begin Date, and Authorization End Date describe the authorization record itself.

  • Authorization Billed Date and Authorization Paid Date describe billing progress for the individual authorized pathway step.

  • Authorized Rate, Authorized Units, and Authorized Amount should be interpreted together when reviewing the financial scope of a step authorization.

  • Pathway Step Start Date and Pathway Step End Date help show when the underlying step activity began and ended, if that progress has been recorded.

πŸ’‘ Best practices

  • Filter by Status when reviewing only active, completed, or other subsets of authorizations.

  • Use Issue Date or Begin Date to analyze authorizations by approval period.

  • Use Billed Date and Paid Date when reviewing reimbursement or billing workflow timing.

  • Expect repeated authorization numbers when one authorization covers multiple pathway steps.

  • Use the column selector to simplify the export when you only need operational or financial fields.

❓ FAQs

Why do I see the same authorization number on multiple rows?
Each row represents one authorized pathway step. If an authorization includes multiple steps, that authorization number will appear on more than one row.

What is the difference between Authorization Begin Date and Pathway Step Start Date?
Authorization Begin Date belongs to the authorization record. Pathway Step Start Date reflects the recorded start date of the individual pathway step.

Why do Billed Date and Paid Date filters affect step-level rows?
Those filters apply to the authorized pathway step records, not just the main authorization record.

Can I customize which columns appear in the export?
Yes. Use the column selector before generating the report.

Why don’t I see Users or Groups filters?
Those filters are not shown for umbrella accounts.
