The Pathway Billing Details Report summarizes billable pathway step activity based on event registrations and check-ins. It helps teams understand who participated in billable pathway steps, how billing totals were calculated, and how step pricing translates into expected billing amounts.

πŸ“„ What this report measures

This report measures billing activity at the participant-and-pathway-step level. Each row represents one registrant paired with one pathway step, along with calculated billing totals based on completed check-ins and event duration.

It does not simply list configured pathway prices. Instead, it uses registered event activity tied to pathway steps and calculates totals from the participant’s checked-in attendance records.

βš™οΈ How it works

  1. Go to Reporting.

  2. Open the Pathways tab.

  3. In the Report dropdown, select Pathway Billing Details.

  4. Choose the filters you want to apply, including step delivery date, pathways, pathway steps, categories, users, or groups.

  5. Select the columns you want included in the export.

  6. Click Generate to create the report.

βœ… Benefits

  • Understand billable participation for pathway steps tied to event delivery.

  • Review pricing models by comparing per-hour and per-check-in billing behavior.

  • Validate calculated totals using check-ins and duration data.

  • Audit billing detail by participant, pathway, step, or service period.

βš™οΈ Filters and options

  • Step Delivery Date Range filters billed activity by the event delivery date range.

  • Pathways limits the report to selected pathways.

  • Pathway Steps limits the report to selected pathway steps.

  • Categories filters by pathway categories for non-umbrella accounts.

  • Users filters the report to specific participants for non-umbrella accounts.

  • Groups filters the report to specific groups for non-umbrella accounts.

  • Column selector lets you choose which fields appear in the final export.

  • Account selection is available when your reporting view supports multi-account filtering.

πŸ“Š Columns included in the export

The Pathway Billing Details Report can include the following columns:

  • Account β€” included for umbrella exports to identify the related sub-account.

  • Registrant Name β€” the participant name tied to the billing activity.

  • Registrant Email β€” the participant email address.

  • Pathway β€” the pathway tied to the billed step.

  • Step β€” the pathway step tied to the billing activity.

  • Price By β€” the pricing method for the step, such as hourly or per check-in.

  • Price β€” the configured unit price for the pathway step.

  • Number of Check-ins β€” the number of checked-in registrations counted for billing.

  • Total Duration (hours) β€” the total duration from checked-in events used in the calculation.

  • Total Amount β€” the calculated billing total for that participant and pathway step combination.

πŸ”Ž How billing totals are calculated

  • If a pathway step is priced by hour, the report calculates Total Amount as Price Γ— Total Duration (hours).

  • If a pathway step is priced by check-in, the report calculates Total Amount as Price Γ— Number of Check-ins.

  • Only checked-in registrations are counted toward Number of Check-ins, Total Duration (hours), and Total Amount.

πŸ”Ž How to interpret the results

  • Each row represents one registrant and one pathway step.

  • If the same registrant appears on multiple rows, they likely participated in multiple billable pathway steps.

  • Price By tells you whether the step is billed by time or by attendance count.

  • Number of Check-ins shows how many checked-in registrations were used in the billing calculation.

  • Total Duration (hours) is especially important for hourly-priced steps, because it directly affects the final total.

  • Total Amount is a calculated value based on participation and pricing, not just a copied price field.

πŸ’‘ Best practices

  • Use the Step Delivery Date Range filter to review a specific service period.

  • Compare Price By, Number of Check-ins, and Total Duration (hours) together when validating totals.

  • Filter by Pathways or Pathway Steps when reviewing one service line.

  • Use Users or Groups filters to narrow the report to a specific participant set.

  • Remember that registrations without check-ins do not contribute to billed totals.

❓ FAQs

Why is the Total Amount different from the Price column?
Price is the configured rate for the pathway step. Total Amount is calculated from that rate plus either checked-in duration or checked-in attendance count.

What does Price By mean?
It shows how the pathway step is billed, such as by hour or by check-in.

Why is Number of Check-ins lower than the number of registrations I expected?
Only checked-in registrations are counted in the billing calculation.

Why might Total Duration be zero or blank for some rows?
Duration-based totals depend on checked-in event activity tied to that pathway step.

Can one participant appear more than once in the report?
Yes. A participant can appear on multiple rows if they have billing activity across multiple pathway steps.
