The Pathway Demographics Report summarizes participant demographics for pathway activity within a selected date range. It helps teams understand who is being served across pathways or high schools by grouping results and counting participants by sex, race, ethnicity, and disability type.
π What this report measures
This report measures the number of unique participants who had pathway step activity during the selected date range, based on the Step Status values you choose. It does not list every individual pathway step in the summary view. Instead, it rolls participant activity into demographic counts so you can analyze representation across services or schools.
If you select Completed, the report counts participants with completed pathway steps in the date range. If you select In Progress, it counts participants whose steps were in progress during that period. If you select both, the report includes both types of activity in the demographic totals.
βοΈ How it works
Go to Reporting.
Open the Pathways tab.
In the Report dropdown, select Pathway Demographics.
Choose a Date Range, select any Pathways you want to include, choose one or more Step Status values, and set the Grouping.
Click Generate to create the export.
The report produces a demographics summary worksheet and a user details worksheet. For umbrella reporting, separate worksheet tabs are created for each included account.
β Benefits
Measure representation across pathways or high schools.
Compare participant populations using consistent demographic categories.
Review supporting user details alongside the summary counts.
Analyze participation trends based on completed or in-progress pathway steps.
βοΈ Filters and options
Date Range defines the reporting window used to count pathway step activity.
Pathways limits the report to selected pathways.
Step Status lets you include Completed, In Progress, or both. If no valid value is selected, the report defaults to Completed.
Grouping controls how summary rows are organized. Available options are Pathway and High School.
Account selection is available when your reporting view supports multi-account filtering.
π Worksheets and columns in the export
The Pathway Demographics Report includes two types of worksheets: a demographics summary worksheet and a user details worksheet.
π Demographics summary worksheet
The summary worksheet changes slightly based on the selected Grouping value.
When grouped by Pathway, the worksheet starts with Pathway and Total.
When grouped by High School, the worksheet starts with High School, County, and Total.
After the grouping columns, the worksheet includes demographic count columns organized under these categories:
Sex β one count column for each configured sex value in the system.
Race β one count column for each configured race value in the system.
Ethnicity β one count column for each configured ethnicity value in the system.
Disability Types β one count column for each disability type configured for the account.
Because disability type columns come from your accountβs configured disability types, those column names can vary between accounts.
π How to interpret the summary results
Total shows how many participants matched your filters for that row.
Each demographic column shows how many of those participants fall into that category.
When grouped by Pathway, each row helps you compare the demographic makeup of participants served in each pathway.
When grouped by High School, each row helps you compare participant demographics across schools and counties.
A participant may appear in the totals for a pathway if they had qualifying step activity during the date range, even if the full pathway was not completed.
Counts in disability type columns may not add up the same way as sex, race, or ethnicity columns because one participant can have more than one disability type assigned.
π€ User details worksheet
The user details worksheet provides participant-level reference information for the users included in the summary counts. It includes these columns:
User ID
Name
Email
High School
County
Sex
Race
Ethnicity
Disability Types
π How to interpret the user details worksheet
Use this worksheet to verify which participants are included in the summary counts.
Compare the participant list against the summary worksheet when checking unexpected totals.
Use the demographic fields in this worksheet to spot missing or inconsistent profile data.
If a participant has no recorded value for a field, the worksheet may show an unknown or empty-style fallback value depending on the field.
π‘ Best practices
Choose Pathway grouping when you want to compare participant demographics across services.
Choose High School grouping when you want to compare demographics by school and county.
Use Step Status deliberately so your counts match the stage of pathway activity you want to analyze.
Expect disability type columns to vary by account based on configured disability types.
Review the user details worksheet alongside the summary worksheet when validating totals.
β FAQs
What does the Grouping field change?
It changes how the summary worksheet is organized. You can group results by Pathway or by High School.
Why do the disability type columns look different between accounts?
Disability type columns come from the disability types configured for that account, so the column names may vary.
What happens if I do not choose a step status?
The report defaults to Completed when no valid step status is selected.
Why does the export include a separate user details worksheet?
The user details worksheet shows the participant-level records behind the summary counts so you can review who is included.
Can one participant count in more than one disability type column?
Yes. If a participant has more than one disability type assigned, they can be counted in multiple disability type columns.
How does this work for umbrella accounts?
For umbrella reporting, the export creates separate worksheet tabs for each included account.
