Update a User's Login Email

Learn how to update your own or another user's login email in Equip.

Login email addresses in Equip are used to match a user to the correct account during sign-in. If a user’s Microsoft or Google login email changes, their Equip login email may also need to be updated so authentication continues to work correctly.


📄 How It Works

For users who sign in with email and password, they can update their own email address from their personal authentication settings.

For users who sign in with Single Sign-On (SSO), the login email in Equip needs to match the identity returned by the SSO provider. If those no longer match, the user may not be able to sign in until the Equip login email is updated.

In some account setups, admins can update a user’s email directly. In other cases — especially when a user is associated with multiple accounts — Equip provides a Request Email Update option that opens Support with a pre-filled message.


⚙️ How to Update a Login Email

Update your own login email

  1. Click your profile photo in the top-right corner of Equip.

  2. Select Settings.

  3. Open the Authentication tab.

  4. Update the email address in the Email Address & Password section.

  5. Click Save.

Update a team member’s or participant’s login email

  1. Open the user’s profile in Equip.

  2. Click Edit Profile and Settings.

  3. Go to the user’s Access tab.

  4. If the email field is editable, update the email address so it matches the user’s current login identity.

  5. If Equip shows a Request Email Update button instead, click it to open Support and submit the update request.

  6. Save your changes if you updated the record directly.

  • Supports SSO changes — If a Microsoft or Google identity changes, updating the Equip login email restores account matching.

  • Email/password users — May be able to update their own email in Authentication.

  • SSO users — Their Equip login email should match the email or identity returned by Microsoft or Google at sign-in.

  • Users associated with multiple accounts — You may see Request Email Update instead of a directly editable field.

  • Support workflow — The in-app request opens a pre-filled Support message for the login email update.


💡 Best Practices

  • Update the user’s Equip login email as soon as their Microsoft or Google login email changes.

  • For SSO accounts, confirm the exact email or username the identity provider is returning during sign-in.

  • If the user is already locked out, have an admin review the user record and update it or submit a request through Request Email Update.

  • If the old email is only an alias for mail delivery but cannot be used to log in to the identity provider, do not rely on it for Equip SSO.

Can a user update their own login email?
Yes, if they sign in with email and password and have access to their personal Authentication settings. In some account setups, admins may also be able to update the user record directly.

What if the user signs in with Microsoft SSO?
The email in Equip should match the identity returned by Microsoft during sign-in. If Microsoft now returns a new email and Equip still has the old one, the user may not be able to log in.

What does Request Email Update do?
It opens Support with a pre-filled message requesting a login email address update for that user.

Why can’t I always edit the email directly?
Some users, especially those associated with multiple accounts, may require a Support-assisted email update instead of a direct in-app edit.

Will an email alias fix the problem?
Not necessarily. If the alias can receive mail but cannot be used to authenticate with the identity provider, Equip may still fail to match the account during SSO.
