Calendar syncing pushes a user's registered Equip events to their connected Google or Microsoft calendar. It is different from calendar subscriptions: syncing creates and updates events through the user's connected calendar account, while subscriptions provide a read-only calendar feed URL.
How calendar syncing works
Google or Microsoft connection - Calendar syncing is available for users who sign in with a connected Google or Microsoft account.
User-level setting - Syncing is controlled from the user's Calendar Settings page with Enable Event Syncing.
New event registrations - When a sync-enabled user is registered for a new Equip event, Equip creates the event in the user's connected calendar.
Updates and removals - When synced Equip events are updated or removed, Equip updates or removes the matching event in the connected calendar.
Equip remains the source of truth - Events should still be created, edited, registered, and managed in Equip.
Turn on calendar syncing for one user
Open the user's profile in Equip.
Select Edit Profile & Settings.
Open Calendar Settings.
Find Event Syncing.
Turn on Enable Event Syncing.
Select Save.
The Event Syncing section appears for users who authenticate with Google or Microsoft SSO.
Auto-enable syncing for new users
Account admins can turn on event syncing automatically for new users from account-level calendar settings.
Open Account Settings.
Open Calendar Settings.
Turn on Auto-Enable Event Syncing for New Users.
Optionally turn on Enable for Everyone to enable event syncing for existing users now.
Select Save.
The auto-enable setting applies to users created after the setting is enabled. Enable for Everyone applies the setting to existing users at the time you save.
When to use calendar syncing
Use calendar syncing when a Google or Microsoft user wants Equip events pushed into their connected calendar.
Use calendar syncing when the organization wants eligible users' new Equip event registrations to appear automatically in their connected calendar.
Use calendar syncing when you want Equip event updates and removals reflected in the connected calendar through the integration.
Important notes
Calendar syncing does not import external Google or Microsoft events into Equip.
Changing an event in Google Calendar or Microsoft Outlook does not update the Equip event.
If a user does not use Google or Microsoft SSO, use a calendar subscription instead.
Calendar syncing and calendar subscriptions can both help users see Equip events outside Equip, but they work differently.
