Resend a team member's invitation

Resend an Equip invitation from the team member's row menu on Team Members with Resend Invite or Send Invitation, or use the Send Invite batch action to send invitations to several team members who have not accepted yet.

Open Team Members, find the person, open the menu on their row and select Resend Invite (or Send Invitation for supporter-type roles). Equip emails a fresh invitation link that is valid for two weeks. To invite several people at once, select Batch Actions, then Send Invite, tick the team members and select Send Invite. Either way, only team members who have never accepted an invitation can be sent one.

Who can do this, and where

  • Web only, from the Team Members page.

  • Super Admins, General Admins, and any custom role whose Team module permission is Administrator (the permission that allows creating team members).

  • You cannot send an invitation to yourself.

Resend one invitation

  1. Select your profile photo or initials in the top-right corner, then Team Members.

  2. Find the team member. Their status shows Invited, Not Invited, or Active if they were added without an invitation email.

  3. Open the menu at the end of their row.

  4. Select Resend Invite. For supporter-type roles the item reads Send Invitation.

  5. Equip sends the email and shows "Email send to [name]!".

The same button is on the person's Access tab under Mobile Access, labelled Send App Invite or Resend App Invite.

Send invitations in bulk

  1. On Team Members, select Batch Actions, then Send Invite.

  2. Tick the team members to invite. Only rows that can still be invited have an active checkbox. Use Select All (or Select All on Page when the list is paginated) to tick every eligible row.

  3. Select Send Invite in the bar at the bottom. It stays disabled until at least one person is ticked. Deselect All clears the selection and Cancel leaves batch mode.

  4. Equip shows "Invitation sent to [N] team members." If none of the selected people needed one, it shows "No pending invitations to send for the selected team members."

Tip: open Filter and set Status to Pending to list only the team members who have not accepted yet.

Limits and what the errors mean

  • No Resend Invite item in the row menu: the person has already accepted an invitation, or the row is your own, or your role cannot create team members. Someone who has accepted signs in with their existing password, or with Forgot your password? on the sign-in page.

  • Invitation link expired: links are valid for two weeks. Resending issues a new link and invalidates the old one.

  • Invited but never receives the email: check the address on their General tab, and ask them to look in spam or junk folders. Resending is safe to repeat.

  • SSO accounts: when your account requires SSO, the invitation page shows only Sign in with Google or Sign in with Microsoft. The person's Equip email must match their Google or Microsoft account.

  • Accepted but cannot use the web app: supporter-type roles need Web Access Enabled on their Access tab. Without it they are sent to the mobile app after accepting.

FAQ

Can I resend an invitation after it expires?
Yes. Open the team member's row menu on Team Members and select Resend Invite, or Send Invitation for supporter roles. Equip sends a new link that is valid for another two weeks.

Can I resend an invitation to someone who already accepted?
No. Once an invitation is accepted the option disappears. If they cannot sign in, check their status and web access on the Access tab, or have them use Forgot your password? on the sign-in page.

How do I invite several team members at once?
On Team Members select Batch Actions, then Send Invite, tick the people and select Send Invite. Only team members who have not accepted an invitation can be ticked, and you cannot include yourself.

Why is a team member's checkbox greyed out in Send Invite?
They have already accepted an invitation, or the row is you. Rows are only selectable when the chosen batch action applies to them.

Why does the menu say Send Invitation for some people and Resend Invite for others?
Supporter-type roles show Send Invitation because they are often added without an invitation at first. Other roles show Resend Invite. Both send the same email.

What address does the invitation come from?
Equip sends invitations through its email service under the Equip name. If it does not arrive, confirm the email on the person's General tab and ask them to check spam or junk folders.

Can I invite new people with the batch action?
No. Send Invite only emails team members who already exist in Equip. Use Add Team Member for one new person or Import Team Members for many.
