Importing Team Members

Learn how to import team members from a spreadsheet in Equip.

Use this article when your team is importing team members directly inside Equip. This is best for adding several staff accounts at once.

Use the shared template as a starting point for your import file.


Make a copy before you fill it out

Do not edit the shared template directly. Make your own copy first so the original template stays clean for other customers.

  1. Open the template link.

  2. In Google Sheets, select File.

  3. Select Make a copy.

  4. Rename the file with your organization name.

  5. Choose where to save it in your Google Drive.

  6. Select Make a copy.

  7. Fill out your copy, not the original shared template.

If you do not use Google Drive, select File → Download → Microsoft Excel (.xlsx), then fill out the downloaded file in Excel.

During onboarding? If your Equip contact asked you to fill out a spreadsheet and send it back, use Importing Team Members (for Onboarding) instead.


What this import is for

  • Adding several team members at once.

  • Assigning each team member an existing Equip role.

  • Adding optional profile details such as title, phone number, status, and groups.

  • Sending invitations when imported users should be invited right away.


Required columns

  • name — Required.

  • email — Required.

  • role — Required and must match an existing Equip role name.


Optional columns

The team member import also supports these optional columns:

  • title

  • phone

  • office_phone

  • about

  • sex

  • race

  • ethnicity

  • time_zone

  • status

  • groups


Import the file in Equip

  1. Open Team Members.

  2. Select Import Team Members.

  3. Upload your .xlsx file.

  4. Select Validate Import.

  5. Review the preview and fix any validation errors.

  6. Turn on Send Invite Email if imported supporter-type users should receive invitations now.

  7. Select Import Team Members.

Equip imports the file in the background and emails you when it finishes. Duplicate emails are skipped rather than updated.
