Enable web access for several team members at once

Use Batch Actions, then Enable Web Access on the Team Members page to turn on web browser access for active supporter-type team members whose Web Access column shows False; it only turns access on, never off.

Written by MaryGrace Flores

On Team Members, select Batch Actions, then Enable Web Access, tick the team members and select Enable Web Access in the bar at the bottom. Equip turns on web browser access for each selected person and confirms "Web access enabled for [N] team members." Only active team members whose Web Access column shows False can be ticked, which in practice means supporter-type roles: admin roles always have web access. The batch action only turns access on. To turn it off, open the person's Access tab and switch off Web Access Enabled.

Who can do this, and where

  • Web only, from the Team Members page.

  • Super Admins, General Admins, and any custom role whose Team module permission includes editing (the Supporter or Administrator preset).

Steps

  1. Select your profile photo or initials in the top-right corner, then Team Members.

  2. Select Batch Actions, then Enable Web Access.

  3. Tick the team members who should be able to use Equip in a browser. Use Select All (or Select All on Page when the list is paginated) to tick every eligible row.

  4. Select Enable Web Access in the bar at the bottom. It stays disabled until at least one person is ticked. Deselect All clears the selection and Cancel leaves batch mode without changes.

  5. Equip shows "Web access enabled for [N] team members." and the Web Access column changes to True for each of them.

Limits and what the errors mean

  • A row's checkbox is greyed out: the person is not Active, already has web access, or you cannot edit them. Inactive, Invited and Not Invited team members are skipped even if ticked.

  • Web Access already shows True for admins: General Admins, Super Admins and other admin-type roles always have web access. The toggle exists only for supporter-type roles.

  • The person still cannot sign in on the web after enabling: check that their status is Active and that they have accepted their invitation. A supporter added without an invitation email needs Send Invitation from their row menu first.

  • Billing: active supporters with web access count toward your team member seats, so enabling web access updates your subscription. Whether it changes your bill depends on your plan.

  • Turning web access off is done one person at a time: open their profile, Edit Profile & Settings, Access, switch off Web Access Enabled, then Save Changes.

FAQ

Who can be selected for Enable Web Access?
Active team members whose Web Access column shows False and whom you are allowed to edit. That is normally supporters added with Enable Web Access switched off.

Can I use this action for invited or inactive team members?
No. Only Active team members are eligible. Send the invitation or set the person to Active first, then run the batch action.

Can I use this action to turn web access off?
No. The batch action only enables access. To remove web access from one person, open their Access tab, switch off Web Access Enabled and select Save Changes.

Why do some team members already show Web Access as True?
Admin-type roles always have web access, and any supporter added with Enable Web Access left on has it too. The batch action skips them.

Does enabling web access change what a supporter can see?
No. Their role and participant assignments still decide what they can view and do. Web access only lets them sign in from a browser as well as the mobile app.

Does enabling web access cost anything?
Equip counts active supporters with web access as team member seats and updates your subscription when you run the action. Ask the Equip team how your plan counts seats before enabling a large group.
