Understanding Assessment Links

Assessment links are a powerful feature that allows you to control who can complete specific assessments. Instead of making an assessment generally available, links let you:

  • Target specific individuals or groups for assessment completion

  • Control access through active/inactive status

  • Track responses associated with specific links

  • Maintain better organization of assessment responses


Creating a New Assessment Link

Prerequisites

  • You must have admin or appropriate assessment management privileges

  • The assessment must already be created

  • You should have a list of people who need to complete the assessment

Step-by-Step Guide to Creating a Link

  1. Navigate to Assessments

  2. Click on the 3 dots at the end of the assessment row

  3. Locate and click the "Generate Link" button

  4. In the link creation form:

    • Select the consumers who should be assessed

    • The link will automatically be set to "active" status

    • Note: The link will be associated with your user account as the creator

  5. Click "Create Link" to generate the new assessment link

Best Practices for Creating Links

  • Create separate links for different groups or cohorts

  • Use meaningful selections of users to help with tracking and organization

  • Consider creating multiple links if you need to track different groups' responses separately

  • Remember that links can be deactivated later if needed


Managing Existing Links

Viewing Links

  1. Go to the assessment details page

  2. Click on the "Links" tab

  3. You'll see a list of all links created for this assessment, including:

    • Creation date

    • Current status (active/inactive)

    • Number of assigned users

Editing a Link

  1. Find the link you want to modify in the links list

  2. Click the 3 dots at the end of the row

  3. Click on the "Edit Link" button

  4. In the edit form, you can:

    • Modify the list of users who can access the assessment

    • Change the link's status between active and inactive

  5. Click "Update Link" to save your changes

Important Notes About Editing

  • Changing a link to inactive will prevent any new responses

  • Existing responses remain intact even if a link is deactivated

  • You can reactivate a link at any time

  • Modifying user access only affects future responses


Managing Link Status

Active vs. Inactive Status

  • Active links allow assigned users to submit responses

  • Inactive links prevent new responses but preserve existing ones

  • Status can be toggled as needed

  • Use status changes to control assessment availability

When to Change Link Status

  • Deactivate when:

    • Assessment period has ended

    • You want to temporarily pause responses

    • The assessment needs updating

  • Reactivate when:

    • You're ready to accept new responses

    • A new assessment period begins

    • Updates to the assessment are complete

Organization

  • Use distinct links for different assessment periods

  • Keep track of which links are associated with specific initiatives

Monitoring

  • Regularly review active links

  • Deactivate unused or outdated links

Security

  • Only share links with intended participants

  • Deactivate links promptly when no longer needed

  • Regularly audit active links to ensure they're still necessary

Troubleshooting

  • If users can't access the assessment, verify:

    • The link is active

    • The user is in the assigned user list

    • The assessment itself is still active

    • The user has the correct permissions
