What do the pathway step statuses mean?

A step is Not Started, In Progress or Completed from its Start Date and End Date alone; a discharge relabels it Discharged (Completed) or Discharged (Incomplete); Closed belongs to the whole pathway progress.

A pathway step's status comes from two dates and nothing else. A step with no Start Date is Not Started, a step with a Start Date and no End Date is In Progress, and a step with an End Date is Completed. Recording a discharge relabels the step Discharged (Completed) if it has an End Date or Discharged (Incomplete) if it does not. There is no status you set directly, and no on-hold status. Closed is not a step status at all: it marks the whole pathway progress after Close Progress.

Participants are labelled Clients, Students, Residents or Explorers depending on the account type. This article calls them participants.

Who sees statuses, and where

  • On the web, every role with the Pathways module at Viewer or higher sees them: as icons with a hover label on the participant's Pathways tab, as a badge on each step of the View Details page, and in the Status column of Pathways, then Progresses.

  • Changing the dates that drive a status needs the Pathways module at Supporter or higher, through Update Progress on the participant's Pathways tab or Edit Progress on the Progresses list.

  • The new mobile app displays Not Started, In Progress and Completed from step dates. Change those dates on the web; discharge and closure actions are web-only.

  • The Discharged labels, the Discharged filters, the Closed badge and Close Progress are part of Pathway Centralization, which is on for every account type except family accounts and is not available to umbrella accounts. Pathway Centralization is turned on for your account by the Equip team. If you do not see View Details on a pathway, ask us to enable it.

Discharged (Incomplete)

The step has a Start Date, no End Date, and a discharge. The service stopped mid-delivery. Shown with a red X.

A step that is not included in the round has no status: it shows on the participant's Pathways tab as Not Started with no dates, because the tab lists every step of the pathway.

Status of the whole pathway progress

The header on View Details shows one status for the round, calculated from the included steps:

  • Not Started when no included step has a Start Date.

  • In Progress when at least one included step has a Start Date and not every step has an End Date. A discharged step without an End Date keeps the round In Progress.

  • Completed when every included step has an End Date.

  • Closed replaces the status once someone uses Close Progress. The badge also shows next to the pathway name on the participant's Pathways tab, and the Pathways, then Progresses list shows Pathway Closed next to each of its steps.

The percentage next to it is the share of included steps with an End Date. Discharges are listed alongside it, for example, two of four steps completed and one discharged, and never reduce the denominator.

Steps to change a step's status

  1. Open the participant's profile and choose Pathways in the left menu.

  2. Click Update Progress on the pathway.

  3. Under Pathway Steps, make sure the step is toggled to Included, then set or clear its Start Date and End Date. Set the Supporter if needed.

  4. Click Update Progress. Equip confirms with "Pathway progress updated successfully".

To record a discharge instead, use View Details and Discharge Step; see Discharge a participant from a pathway step. To mark the whole round finished, use Close Progress on View Details.

Limits and what the errors mean

  • "End date cannot be recorded without a start date." A step cannot go straight to Completed. Enter a Start Date on the same step, then the End Date.

  • "All in-progress steps must be completed or discharged before closing this pathway progress." Close Progress is refused while any included step is In Progress. Steps that are Not Started do not block closing.

  • Toggling a step off under Pathway Steps and saving deletes that step's dates, supporter, discharge and recorded custom field values for this participant. Equip warns "This step has 2 recorded custom field values. Turning it off will permanently delete them when you save. Continue?" only when custom field values exist. This cannot be undone.

  • Filters on the participant's Pathways tab are Not started, In progress, Completed and, with centralization, Closed. Closed matches rounds that were closed and open rounds holding a Discharged (Incomplete) step. No pathways match means the filter hid everything; clear it.

  • Filters on Pathways, then Progresses add Discharged, Discharged (completed), Discharged (incomplete), a Discharge Reason picker and a Closed Pathways Only toggle. The tiles above the list count the same buckets, so a step that is both Completed and Discharged (Completed) is counted in both.

  • Pathway reports read the same dates. A step counts as completed by its End Date, as in progress while it has a Start Date but no End Date and no discharge, and as discharged by its discharge date, so a report and the list never disagree.

FAQ

How do I mark a pathway step complete?
Enter an End Date on the step. Open the participant's Pathways tab, click Update Progress, set the End Date under Pathway Steps and click Update Progress. There is no separate complete button, and a discharge does not complete the step.

Why does a step still show In Progress after I discharged the participant?
It does not; a discharged step reads Discharged (Incomplete) or Discharged (Completed). The pathway progress header can still read In Progress, because a discharge without an End Date leaves the round unfinished. Use Close Progress to mark the round finished once every other step is completed or discharged.

Why does a step show Completed even though the participant was discharged?
Because it has an End Date. Completed means the service was delivered, and a discharge recorded afterwards is shown as Discharged (Completed) with a green check rather than taking the completion away.

What does Closed mean, and how is it different from Completed?
Completed is a step with an End Date. Closed is the whole pathway progress after someone used Close Progress; it can be reopened with Reopen Progress. A round can be closed with some steps discharged and never completed, and a round can be fully completed without ever being closed.

Can I put a step or pathway on hold?
No. There is no hold or paused status. Leave the step In Progress and note the pause in a linked note, or discharge the step with a reason such as "On hold" and start a new round when the service resumes.

Why can't I see the Discharged filters or the Closed badge?
They only exist when Pathway Centralization is on for your account, which also adds View Details, Discharge Step and Close Progress. Umbrella accounts never have them. Ask us to enable it.

Can I print a participant's pathway steps?
There is no print button. Use your browser's print command on the participant's Pathways tab, which prints the step list without the page header, or run the Pathway Progress report from Reports, then Pathways, for a spreadsheet of every step with its dates, status and discharge details.

Does the mobile app show discharges?
No. The new mobile app displays Not Started, In Progress and Completed from the saved step dates. Editing dates, discharging steps and closing progress are web workflows.
