Can a participant run the same pathway more than once?

Equip blocks Start Pathway only while an earlier round of that pathway is still open for the participant; finish, discharge or close the earlier round and you can start it again.

Yes. Equip only blocks Start Pathway while the participant already has an open round of that same pathway. Once every step in the earlier round has an end date or a discharge, or the earlier round is closed, you can start the pathway again. Both rounds stay on the participant's Pathways tab, so history is never lost.

Who can do this, and where

  • Pathways are started on the web app only. The mobile app can update dates on an existing pathway progress but cannot start one.

  • Your role needs the Pathways module at Supporter or Administrator level. Viewers can see pathway progress but not start it.

  • You need access to the participant: full support scope, or the participant is assigned to you.

  • The participant must be active in your account. The Start Pathway button is hidden for inactive participants.

  • Close Progress and Reopen Progress need the Pathways edit permission and Pathway Centralization, which is on for every account type except family accounts and is not available to umbrella accounts. Pathway Centralization is turned on for your account by the Equip team. If you do not see View Details on a pathway, ask us to enable it.

What counts as "in progress"

A round of a pathway is in progress when both of these are true:

  • It has not been closed with Close Progress.

  • At least one step included in that round has no end date and has not been discharged.

A step that was included but never started still counts, because it has no end date. Steps you left out of the round (toggled off under Pathway Steps) do not count.

Steps to start the pathway again

  1. Open the participant's profile and choose Pathways in the left menu.

  2. Find the earlier round of the pathway and finish it in one of three ways:

    • Click Update Progress and enter an End Date on every step still open, then click Update Progress to save.

    • Click View Details, open a step still in progress, and use Discharge from Step to record why the service ended.

    • Click View Details, open the menu next to Update Progress, and choose Close Progress. Confirm with Close Progress.

  3. Back on the Pathways tab, click Start Pathway.

  4. Choose the pathway. Set the Case if the participant has one, and the dates your account tracks (Receive Date and Meeting Date by default).

  5. Under Pathway Steps, toggle each step you want in this round to Included, and set the Supporter and Start Date where known.

  6. Click Start Pathway. Equip confirms with "Pathway progress started successfully".

The earlier round stays in the list. A closed round shows a Closed badge next to the pathway name, and you can filter the list by Closed once Pathway Centralization is on.

Limits and what the errors mean

  • "This pathway is already in progress." Shown in red at the top of the Pathways tab after you click Start Pathway. Nothing was created. The participant has an open round of that pathway: give its open steps an end date, discharge them, or close the round, then try again.

  • "All in-progress steps must be completed or discharged before closing this pathway progress." Close Progress is refused while any step has a start date but no end date and no discharge. In the menu the Close Progress item is greyed out with "Complete or discharge the in-progress steps before closing." Steps that were never started do not block closing.

  • "Progress is already closed. Reload the page to see the closure." Someone else closed the same round while you had the page open.

  • Reopen Progress removes the closure and makes the round active again. If a Case ID was closed together with the round, reopening the round does not reopen the case.

  • Delete Progress is permanent. The confirmation reads "Are you sure you want to delete this pathway progress? It will be permanently removed and all notes associated with it will be disconnected. This action cannot be undone." Linked records such as notes, forms and goals are unlinked but never deleted; captured custom field values on the round are deleted. Deleting needs the Pathways Delete permission.

  • A round that has an invoice cannot be deleted. The Delete Progress option disappears for it, and a direct attempt returns "Cannot delete a progress that has been invoiced."

FAQ

Can I start the same pathway again for the same participant?
Yes. Equip only blocks a new round while an earlier round of that pathway is still open. Give every open step an end date, discharge the steps that ended early, or close the round with Close Progress, and Start Pathway works again.

Why do I see "This pathway is already in progress" when the steps look finished?
One included step still has no end date and no discharge. A step that was included but never started counts too. Open the round with Update Progress and check each step for a missing End Date, or open View Details and look for a step without a green check or a Discharged label.

Do I have to delete the old round before starting a new one?
No, and you should not. Finish or close the old round instead. Deleting a round is permanent and unlinks every note, form and goal that was attached to it, and a round with an invoice cannot be deleted at all.

Should I duplicate the pathway itself instead?
No. Duplicating a pathway creates a second pathway definition in your library, which splits reporting. For a new service period, keep one pathway and start a new round of it for the participant.

What is the difference between closing a round and discharging a step?
A step discharge records why one service ended, with a date, reason and notes, and only affects that step. Close Progress marks the whole round finished with no extra details and can be reversed with Reopen Progress. Both stop the round from counting as in progress.

Can I start a pathway from the mobile app?
No. The mobile app can update step dates, supporters and captured data fields on an existing pathway progress. Starting a pathway, adding or removing steps, and authorizations are web only.

Does the old round still show on reports after I start a new one?
Yes. Each round is its own pathway progress record with its own step dates, discharges and authorizations, and pathway reports include every round.
