Edit a team member's profile, role and settings

Edit a team member with Edit Profile & Settings on their profile; the General, Access, Authentication, Availability, Calendar, Group, Mobile and Notifications tabs hold their details, role, status and access.

Open Team Members, open the menu on the person's row and select Edit Profile, or open their profile and select Edit Profile & Settings. The settings page has a tab for each area: General for name, title and contact details, Access for status, role, web access, supported participants and mobile access, and further tabs for sign-in, availability, calendar, groups, mobile devices and notifications. Select Save Profile on the General tab or Save Changes on the Access tab to keep your edits. Your own profile is edited the same way from My Profile, except that the Access tab is not shown for yourself.

Who can do this, and where

  • Web only.

  • Super Admins can edit any team member. General Admins and roles with the Supporter or Administrator permission on the Team module can edit team members other than Super Admins.

  • Only administrators (Super Admins, General Admins and admin-type custom roles) can change a team member's Role.

  • Everyone can edit their own General, Authentication, Availability, Mobile Settings and Notifications tabs.

Steps

  1. Select your profile photo or initials in the top-right corner, then Team Members.

  2. Open the menu at the end of the person's row and select Edit Profile. For an active team member this opens the General tab; for an inactive one it opens the Access tab.

  3. Choose a tab in the left-hand menu, make your changes, and select the save button on that tab.

What each tab holds

  • General: name, title, About Me, sex, race, ethnicity, cell and office phone, time zone, and any custom fields your account has added for team members. The red Delete [name] section is at the bottom (see Should I deactivate or delete a team member?). Saves with Save Profile.

  • Access (other people only): Status (Active or Inactive), Role, the Web Access card with Web Access Enabled and Supported Participants for supporter-type roles, and the Mobile Access card with Mobile Access Enabled, Sign User Out of Mobile App and Send App Invite. Saves with Save Changes.

  • Authentication: Email Address & Password and Two-Factor Authentication.

  • Availability: Enable Office Hours, the Away Message and weekly hours. See Set your office hours and away message

  • Calendar Settings (when calendar subscriptions are enabled for your account): Event Syncing to a connected Google or Microsoft calendar, and the subscription link for Apple Calendar or Outlook Desktop.

  • Group Settings (not on your own profile, not on family accounts): Enable Chat.

  • Mobile Settings: Hide Phone Number, and the Devices list with platform, app version and last login for each phone signed in.

  • Notifications: Event Reminders, Routine Reminders, Mood Alerts, Task Notifications and the person's Subscriptions.

When a team member is inactive, only the General and Access tabs are available until they are set back to Active.

Change a team member's role

  1. Open their Access tab.

  2. Choose the new Role. General Admins see General Admin and supporter-type roles; only Super Admins can choose Super Admin.

  3. If the new role is supporter-type, review Web Access Enabled and Supported Participants, which appear as soon as the role is selected.

  4. Select Save Changes. The page shows "Access settings saved successfully!".

Changing a role changes what the person can do and see immediately. Admin-type roles always get web access; only supporter-type roles can be mobile-only.

Limits and what the errors mean

  • No Edit Profile in the row menu: the person is a Super Admin and you are not, or your role cannot edit team members.

  • No Access tab: you are on your own profile. Ask another administrator to change your status, role or access.

  • No Role field on the Access tab: your role is not an administrator, so you can change status and access but not roles.

  • "This user is inactive and cannot be edited. Click here to edit the their status." on a profile: the person is inactive. Follow the banner to the Access tab and set Status to Active if they should be back.

  • Email changes: a team member's sign-in email is changed from the Authentication tab, and the person must confirm the new address before it takes effect.

  • Custom fields for team members are defined under Account Settings, then User Fields. Once a field has values, only its name and placement can be changed.

FAQ

Where do I change a team member's role?
On the Access tab of their profile: open Team Members, choose Edit Profile from their row menu, select Access, pick the new Role and select Save Changes. Only administrators can change roles, and only Super Admins can assign Super Admin.

Why can I not edit a Super Admin?
Only Super Admins can edit other Super Admins. General Admins and custom roles do not see Edit Profile on a Super Admin's row.

How do I update my own details?
Select your profile photo or initials, then My Profile, then Edit Profile & Settings. You can change your General, Authentication, Availability, Mobile Settings and Notifications tabs. Status, role and access are changed by another administrator.

Should someone who only uses the mobile app have an admin role?
No. General Admins, Super Admins and admin-type custom roles always have web access. Give mobile-only staff a supporter-type role and leave Web Access Enabled off.

Where do I sign someone out of the mobile app?
On their Access tab, under Mobile Access, select Sign User Out of Mobile App. It appears only when a phone is currently signed in. Setting the person inactive also signs them out.

Where are a team member's notification settings?
On the Notifications tab of their profile: Event Reminders, Routine Reminders, Mood Alerts and Task Notifications, plus the subscriptions they receive.

Can I edit an inactive team member?
Only their General and Access tabs. Set Status to Active on the Access tab and save, and the rest of the tabs return.
