Use Batch Actions to update multiple records

Learn how to use Batch Actions in Equip to update participants, manage team member workflows, and generate document ZIP files.

Batch Actions let you update, invite, assign, or package multiple existing records at the same time. Use Batch Actions when the records already exist in Equip and you want to apply the same supported action to more than one item without opening each record individually.

Batch Actions are different from imports. Use imports when you need to create many new records from a spreadsheet. Use Batch Actions when you want to work with records that are already in Equip.


⚙️ How It Works

  1. Open a supported list page, such as Participants, Team Members, Documents, or a participant’s Documents page.

  2. Use filters or search to narrow the list to the records you want to update.

  3. Select Batch Actions near the list filters.

  4. Choose the action you want to apply. Equip shows checkboxes for the records that can be selected for that action.

  5. Select the records you want to include, or use Select All / Select All on Page when available.

  6. Complete any action-specific fields, then select the action button at the bottom of the page.

Some rows may not be selectable for a specific Batch Action. Equip only enables rows where the selected action applies.


📄 Participant Batch Actions

Participant Batch Actions are available from the Participants page when your permissions allow them.

  • Add to Group — Add selected participants to one or more groups.

  • Assign Supporter — Assign selected participants to one or more supporters. The label may match your organization’s configured supporter term.

  • Send App Invite — Send app invitations to selected participants who are eligible to receive one.


👥 Team Member Batch Actions

Team Member Batch Actions are available from the Team Members page when your permissions allow them.

  • Send Invite — Send or resend invitations to selected team members who have not accepted an invitation yet.

  • Enable Web Access — Enable web access for selected active team members who do not already have it.


📁 Document Batch Actions

Document Batch Actions are available from the main Documents page and from a participant’s Documents page when your permissions allow them.

  • Generate Zip File — Package selected documents into a ZIP file.

  • File name (optional) — Enter a custom ZIP file name, or leave the field blank to use the default file name.

  • Save to Documents — Save the generated ZIP file back to Documents when this option is available.

After you generate a ZIP file, Equip prepares the download and emails you when it is ready. Documents that are still processing cannot be included until they are ready to download.

  • Improves accuracy — Use filters, row eligibility, and selection counts to review the records before applying an action.

  • Keeps workflows moving — Quickly invite users, assign participants, or package documents for download.


⚙️ Options

  • Filters and search — Narrow the list before starting a Batch Action.

  • Select All on Page — Select all eligible records currently shown on the page when pagination is present.

  • Deselect All — Clear your current selections without leaving Batch Action mode.

  • Cancel — Exit Batch Action mode without applying the action.

  • Action-specific fields — Some actions require additional choices, such as selecting groups, selecting supporters, naming a ZIP file, or choosing whether to save a generated ZIP file to Documents.


💡 Best Practices

  • Filter the list before starting a Batch Action so the available records are easier to review.

  • Confirm the selected count before applying the action.

  • Review disabled or unavailable rows. They usually mean the selected action does not apply to that record.

  • Use imports instead of Batch Actions when you need to create many new records from a spreadsheet.

  • For document ZIP files, use a clear file name so the download is easy to identify later.

Where do I find Batch Actions?
Batch Actions appear near the list filters on supported pages, including Participants, Team Members, Documents, and a participant’s Documents page.

Why do I not see the Batch Actions menu?
The menu only appears when your permissions and the current page support at least one Batch Action.

Why are some rows not selectable?
Some actions only apply to certain records. For example, Enable Web Access only applies to active team members who do not already have web access.

Are Batch Actions the same as imports?
No. Imports create many new records from a spreadsheet. Batch Actions update, invite, assign, or package records that already exist in Equip.

Can I undo a Batch Action?
Batch Actions do not have a single undo button. Some changes can be adjusted later from the individual record, but you should review your selections before applying the action.

What happens after I generate a document ZIP file?
Equip prepares the ZIP file in the background and emails you when the download is ready.
