Troubleshooting Employment Tracking

Learn how to resolve common Employment Tracking issues related to access, employers, supervisors, statuses, and reports.

Written by Trent Kocurek

Employment Tracking depends on account feature access, user permissions, employer setup, participant employment records, and report filters. If something is missing or results do not look as expected, the checks below can help identify the most common causes.

⚙️ How It Works

Start by confirming whether the issue is related to access, setup, record status, or filtering. Most Employment Tracking issues are caused by one of these areas: the feature is not enabled, the user does not have the needed permission, the employer or contact has not been created yet, an end date has made the employment inactive, or a report filter is narrowing the export.

🔎 Common Issues to Check

  • The Employment tab is missing — Employment Tracking may not be enabled for the account, or the user may not have permission to access employment records.

  • An employer is not available when adding employment — The employer may not have been created yet, or the user may not have permission to view employer records.

  • A supervisor is not available in the Supervisor dropdown — Supervisors are employer contacts. Add the supervisor as a contact on the selected employer, or create a new supervisor while completing the employment form.

  • An employment record appears inactive — Employment records are inactive when the end date has passed. Leave End Date blank if the participant is still employed.

  • Employer metrics look different than expected — Review whether the employer page is showing all employments or a filtered list. Active employee counts and averages depend on the employment records connected to that employer.

  • A report has fewer rows than expected — Check date range, employer, employment type, employer status, participant, group, and category filters depending on the report being used.

✅ Benefits

  • Resolve setup issues faster — Know which settings and records to check first.

  • Improve data quality — Identify missing employers, contacts, dates, or supervisor details.

  • Export more accurate reports — Understand how filters affect employment report results.

  • Reduce duplicate work — Confirm existing employer and contact records before creating new ones.

💡 Best Practices

  • Confirm Employment Tracking is enabled before troubleshooting individual records.

  • Review permissions if a team member cannot see or update employment information.

  • Search existing employers before creating a new employer record.

  • Add supervisors as employer contacts to keep supervisor options reusable and reportable.

  • Review report filters before assuming data is missing.

❓ FAQs

Why can’t I see Employment Tracking?
The feature may not be enabled for your account, or your role may not have permission to access it. Contact your account admin or Equip support for help.

Why did an employment record become inactive?
An employment record becomes inactive when its end date has passed. If the participant is still employed, leave the end date blank or update it as needed.

Why is a supervisor missing from a report?
The employment record may not have a supervisor selected, or the supervisor may not match the filters used in the report.

Why are report results missing records?
Report filters may be limiting the export. Review the selected date range, employer status, employer, participant, group, category, or employment type filters depending on the report.

Can Equip recover a deleted employment record?
Deleted records may not be visible in the product. Contact Equip support if you need help investigating a deleted record.
