The Note Details Report exports note records into an Excel workbook so teams can review note content, visibility, authorship, categories, and timestamps in one place.

βš™οΈ How It Works

  1. Go to Reporting and open the Note Reports tab.

  2. Choose Note Details.

  3. Select a Date Range based on note created or updated date.

  4. Optionally filter by categories, participants, and groups.

  5. Generate the report to download an Excel workbook.

The export contains one worksheet named Notes. Each row in the worksheet represents one note.

βœ… Benefits

  • Review note activity in one export so you can analyze note records across a selected timeframe.

  • Understand visibility clearly by seeing whether each note is staff-only or visible to both the person and staff.

  • Track authorship and categories with author details and note category labels included in the report.

  • Work with note data outside Equip using a simple Excel workbook that can be sorted, filtered, and shared internally.

πŸ“Š Columns Included

  • Name: The participant name attached to the note.

  • Email: The participant email address attached to the note.

  • Title: The note title.

  • Note: The full note content.

  • Access: The note visibility setting, shown as Staff Only or Person + Staff.

  • Author: The name of the person who created the note, when available.

  • Author Email: The email address of the note author, when available.

  • Categories: The note categories assigned to the note. Multiple categories are listed together.

  • Created At: The date and time the note was created.

  • Updated At: The date and time the note was last updated.

πŸ’‘ Best Practices

  • Use the date range filter to narrow exports to the time period you actually want to review.

  • Filter by category when you need to isolate one type of note for follow-up or audit work.

  • Review the Access column carefully if you are checking whether notes are staff-only or shared more broadly.

  • Sort by Updated At in Excel when you want to identify recently changed notes first.
