Introduction to the Participants Page

Learn how to view, search, filter, and manage participant profiles from the Participants page in Equip.

The Participants page gives your organization a central place to view and manage participant profiles. From this page, teams can search for participants, open profile records, review person-centered profile details, and access participant activity across Equip.


📄 How It Works

  1. Open Participants from the left-hand navigation menu.

  2. Use the search bar or filters to find the participant you need. Participant search can match a participant’s name, Preferred Name, unique ID, or case number when those values are available.

  3. Click the participant’s name to open the participant profile.

  4. Review profile details such as name, contact information, profile photo, birthday, address, group membership, skills, interests, and preferred identity information.

  5. Use Edit Profile & Settings from the participant profile when you need to update profile information.

  • Find participant records quickly — Search and filters help teams locate the right participant without scrolling through the full list.

  • Search by preferred name — If a participant has a saved Preferred Name, teams can use it when searching for that participant.

  • Keep profile context visible — Participant profiles can show key identity and communication details, including Preferred Name, Preferred Pronouns, and Preferred Language when those fields are saved.

  • Move directly into participant work — Profile shortcuts make it easier to access goals, notes, calendar items, routines, documents, and assessments when available for your account.


🧰 Options

  • Status — Filter by active or inactive participants.

  • Group — Filter by participant group when your organization uses groups.

  • Invitation Status — Filter by accepted or pending invitations when applicable.

  • Add or import participants — Use Add Participant to create participants manually, or Import Participants to upload participants from a spreadsheet.


💡 Best Practices

  • Use the participant profile as the source of truth for profile details your team references across Equip.

  • Add Preferred Name, Preferred Pronouns, and Preferred Language when that information helps your team communicate with a participant accurately and respectfully.

  • Use the search bar with a participant’s preferred name when that is the name your team commonly uses.

  • Use filters to review inactive participants when you need historical records, since the page defaults to active participants.


❓ FAQs

Can I search for a participant by preferred name?
Yes. If Preferred Name is saved on the participant profile, it is included in participant search.

Where do I update a participant’s preferred name?
Open the participant profile, select Edit Profile & Settings, then update Preferred Name from the General tab.

Where does preferred information appear?
When saved, Preferred Name and Preferred Pronouns appear near the participant’s name on the profile, and Preferred Language appears in the participant profile details.

Can I still view inactive participants?
Yes. Use the status filter to include inactive participant records when needed.
