Scheduling Availability

Set weekly availability to improve scheduling. Customize time blocks, view team hours on the calendar, and manage from web or mobile.

Equip’s new Availability feature makes it easier to coordinate meetings, check-ins, and support sessions. Team members can set their availability across multiple time blocks, and Admins can view or edit it as needed. Availability appears on the calendar for better visibility and planning. Available on web and mobile (version 1.1.29+).


🧑‍💻 Set Your Own Availability (Web)

  • Click your profile photo or name in the top-right corner → Profile Settings.

  • Select Availability.

  • Use the checkboxes to activate specific days of the week.

  • Add one or more time ranges for each selected day (e.g., 9:00–11:00am and 2:00–4:00pm).

  • Click Save.

There’s no date range—just set your recurring weekly availability. You can update it anytime.


📱 Set Availability on Mobile

  • Make sure you’ve updated to version 1.1.29 or newer.

  • Tap your profile.

  • Click the Gear icon in the top right for Settings.

  • Select Enable Office Hours.

  • Once enabled, Edit Office Hours will be visible.

  • Add time blocks just like on web and tap Save.

Supporters and mentors can manage their availability directly from their phones—no need to log in on desktop.


🛠️ Admins: Set or Edit Team Member Availability

  • Go to Team, then click on the person’s profile.

  • Select Edit Profile & Settings.

  • Click on Availability, set time ranges, and click Save.

This is a helpful way to ensure Supporters’ hours are visible and accurate—especially during coverage planning.


📅 Viewing Availability on the Calendar

  • Open the Calendar (global or individual)

  • Click or tap the Filter icon.

  • Select the checkbox for Show Availability.

  • Choose which team members’ availability to view.

  • Click Apply Filter.

You’ll now see light green blocks on the calendar, showing availability across the week. If multiple team members share the exact same time range, their names will appear comma-separated in a single block.

This visual view makes it easier to:

  • Schedule 1:1s or group meetings

  • Identify overlap or conflicts in Supporter availability

  • Coordinate services more effectively across your organization


Equip Tip: This feature works best when everyone keeps their availability up to date. Encourage team members to review and adjust their office hours each week if schedules change! You can even create a calendar event titles "Update Weekly Availability" to help remind your supporters!
