Scheduled vs Non-Scheduled Routines

Learn how to choose between scheduled and non-scheduled routines in Equip.

Equip routines can be scheduled or non-scheduled. Scheduled routines appear on the Calendar for a specific date and time. Non-scheduled routines live in the Routine Library and can be used whenever they are needed.


Scheduled Routines

A scheduled routine is attached to a calendar event. Use this option when the routine should happen at a specific time, repeat on a schedule, or send reminders before it begins.

Use a scheduled routine when:

  • The routine should appear on the Calendar.

  • The routine has a specific date, start time, or end time.

  • The routine should repeat, such as daily, weekly, or on selected dates.

  • Participants or team members should receive reminders before the routine begins.

  • The routine is part of a planned schedule, class, shift, appointment, or daily program.

Examples:

  • Morning hygiene at 8:00 AM every weekday

  • Laundry practice every Tuesday afternoon

  • A work-prep routine before a scheduled shift

  • A transition routine before transportation pickup


Create a Scheduled Routine

  1. Go to Calendar.

  2. Select Add Routine.

  3. Choose an existing routine or create a new routine.

  4. Add the date, start time, end time, and description.

  5. Turn on Recurring Routine if the routine should repeat.

  6. Add reminders if users should be notified before the routine begins.

  7. Add or review the routine tasks.

  8. Choose the registrants who should receive the routine.

  9. Save the routine event.

Reminder delivery depends on the user's notification settings. Routine reminders can be turned on or off from the user's notification settings.


Non-Scheduled Routines

A non-scheduled routine is saved in the Routine Library. Use this option when the routine should be available as a reusable resource instead of tied to one date and time.

Use a non-scheduled routine when:

  • The routine should be available on demand.

  • The routine may be reused for multiple participants or groups.

  • The routine does not need calendar reminders.

  • The routine supports an occasional task or skill practice.

  • The routine may be scheduled later, but does not need to be scheduled right now.

Examples:

  • Cleaning a bedroom

  • Making a simple meal

  • Doing laundry

  • Using public transportation


Create a Non-Scheduled Routine

  1. Go to Routine Library.

  2. Select Create Routine.

  3. Enter the routine name, category, tags, and description.

  4. Add a video link or guidance images if helpful.

  5. Turn on Request Photo if the user should upload a photo as proof of completion.

  6. Turn on Completion Notifications if the right team members should be notified when the routine is completed.

  7. Add tasks manually or select Generate Tasks to draft a simple task list.

  8. Save the routine.

  • Scheduled routines appear on the Calendar. Non-scheduled routines live in the Routine Library.
