Importing Your Team (For Onboarding)

Learn how to import multiple team members for staff onboarding.

Getting your team into Equip is one of the first steps to a successful launch. Instead of adding users one at a time, you can quickly import your entire team using a simple Excel template. It’s fast, accurate, and helps everyone get started on the right foot.

πŸ“Š Required Columns for Upload

Your spreadsheet must include these columns:

πŸ“„ Optional Columns (User Fields You Can Include)

Equip accepts any standard user fields. Some commonly used ones:

  • title

  • pronouns

  • phone

  • sex

  • bio

  • office_phone

  • race

  • ethnicity

πŸ”€ Accepted Values for Enum Fields

  • Role: mentor, admin, owner

  • Sex: male, female, undisclosed

  • Race:

    • american_indian_or_alaska_native

    • asian

    • black_or_african_american

    • native_hawaiian_or_other_pacific_islander

    • white

    • two_or_more_races

    • other_race

  • Ethnicity:

    • hispanic_or_latino

    • non_hispanic_or_latino


⚠️ Important Notes

β€’ Each email must be unique (no duplicates)

β€’ Date fields should be formatted as YYYY-MM-DD

β€’ Time fields should be formatted as HH:MM

β€’ Boolean fields must use true or false

β€’ The status field controls whether the account is active or inactive


Equip Tip: Once your team is imported, you can edit roles, adjust permissions, and resend invites at any time.
