Running the Pathway Authorizations Report

Learn how to access the Pathway Authorizations report, understand each column, and troubleshoot access permissions.

πŸ“„ How to Access the Report

  1. From the left sidebar, click Reports.

  2. Under the Pathways category, select Authorizations.

  3. Apply any filters you need (status, date ranges, pathways).

  4. Click Generate Report to create the spreadsheet.

  5. Once the report is ready, click Download to save the Excel file.


πŸ“Š Report Columns

The Authorizations report includes the following columns by default:

  • Authorization Number β€” The unique identifier for the authorization.

  • User β€” The participant's name.

  • Counselor β€” The counselor associated with the pathway authorization.

  • Authorization Issue Date β€” The date the authorization was issued.

  • Authorization Begin Date β€” The start date of the authorization period.

  • Authorization End Date β€” The end date of the authorization period.

  • Authorization Billed Date β€” The date the authorization step was billed.

  • Authorization Paid Date β€” The date payment was received for the authorization step.

  • Pathway β€” The name of the pathway the participant is enrolled in.

  • Pathway Step β€” The specific step within the pathway.

  • Pathway Step Code β€” The billing or reference code for the pathway step.

  • Pathway Step Start Date β€” When the participant started the pathway step.

  • Pathway Step End Date β€” When the participant completed or exited the pathway step.

  • Authorized Rate β€” The rate authorized for the step.

  • Authorized Units β€” The number of units authorized.

  • Authorized Amount β€” The total authorized dollar amount for the step.

You can customize which columns appear in your report using the column selector before generating.

Before generating the report, you can narrow results using these filters:

  • Status β€” Filter by authorization status (e.g., active authorizations only).

  • Pathway β€” Limit results to a specific pathway.

  • Issue Date Range β€” Filter by when authorizations were issued.

  • Begin Date Range β€” Filter by authorization start dates.

  • Billed Date Range β€” Filter by when steps were billed.

  • Paid Date Range β€” Filter by when payments were received.

  • To see only active participants, use the Status filter before generating.

  • The report exports as an Excel (.xlsx) file, so you can sort, filter, and pivot the data further in your spreadsheet application.

  • Each row represents a single pathway step authorization β€” a participant may appear on multiple rows if they have multiple steps or authorizations.


πŸ”’ Don't See This Report?

If the Authorizations report does not appear in your Reports list, your account role may not have access to it. An admin can grant you access by going to Settings β†’ Permissions β†’ Reports and enabling the Authorizations report for your role.


❓ FAQs

Q: Why do I see the same participant listed multiple times?
Each row corresponds to a specific pathway step within an authorization. A participant with multiple authorized steps will have one row per step.

Q: What does the Counselor column show?
It shows the counselor assigned to the pathway authorization record for that participant.

Q: Can I run this report for all accounts in an umbrella organization?
Yes. If you are an admin on an umbrella account, the report will include an additional Account column and pull data across all sub-accounts.

Q: What if I don't see the Pathways section at all?
The Pathways reports are only available if the Pathways feature is enabled for your account. Contact your administrator if you believe it should be enabled.
