Assign supporters, add to groups, or invite many participants at once

Batch Actions on the Participants list assigns supporters, adds participants to groups, or sends mobile app invites to every selected participant in one step; who sees each action, how selection works across pages, and what the confirmations say.

Open Batch Actions on the Participants list, choose an action, tick the participants, and apply it once to all of them. There are three actions: Add to Group, Assign Supporter (named after your account's supporter role, so it may read Assign Mentor), and Send App Invite. Your ticks are kept as you move between pages of the list, so you can select across the whole list before applying. Participants are labelled Clients, Students, Residents, or Explorers depending on your account type; everything here applies to all of them.

Who can do this, and where

  • Web app only, on the Participants page. The Batch Actions dropdown sits in the filter bar next to Filter and only appears when at least one action is available to you.

  • Assign Supporter and Add to Group need the edit permission of the Team module (Supporter or Administrator level), or an administrator role. Assign Supporter also needs at least one other active team member to assign; Add to Group also needs access to the Groups module.

  • Typing a new group name in the group picker to create it needs the create permission of the Groups module (Administrator level).

  • Send App Invite needs the create permission of the Participants module (Administrator level) or an administrator role. It is never offered on CRP accounts, which do not invite participants to the app.

  • You can only tick participants within your scope of support, and only Active participants are changed.

Steps

  1. Open Participants in the left navigation. Use search or Filter first to narrow the list.

  2. Click Batch Actions and choose Add to Group, Assign Supporter, or Send App Invite. A checkbox appears beside each participant and a bar appears at the bottom of the page.

  3. Tick the participants you want. The header checkbox reads Select All, or Select All on Page when the list has more than one page. Move to other pages and keep ticking; the bar shows "N selected" for everything ticked so far.

  4. For Assign Supporter, pick one or more team members in the Select supporters... field. For Add to Group, pick one or more groups in the Select or create groups... field, or type a new name to create a group on the spot if you have permission.

  5. Click the button in the bar: Assign Supporter (it reads Assign Supporters when you picked more than one), Add to Group (or Add to Groups), or Send App Invite. The button stays disabled until at least one participant is ticked.

  6. A confirmation appears and the checkboxes close. Click Cancel at any time to leave batch mode without changing anything, or Deselect All to clear your ticks and keep going.

What each action does

  • Assign Supporter adds each chosen team member as a supporter of each ticked participant. Existing assignments are left in place. The confirmation reads "N participants assigned to [names]." and counts only participants who gained at least one new supporter.

  • Add to Group adds each ticked participant to each chosen group. Groups typed as new names are created first. The confirmation reads "N participants added to [group names]."

  • Send App Invite emails the mobile app invitation to each ticked participant. Only participants who have not yet joined and have a real email can be ticked; the others are greyed out. The confirmation reads "App invitation sent to N participants." or "No app invitations to send for the selected participants." if none qualified.

Limits and what the errors mean

  • No Batch Actions dropdown. Your role has none of the permissions above, or you are the only active team member and Groups is off. Ask an administrator to adjust your role.

  • A participant's checkbox is greyed out. They do not qualify for the active action: for Send App Invite they have already joined or have no real email. Switch actions and the row becomes selectable again.

  • Inactive participants are skipped. They can be ticked, but supporters and groups are only assigned to Active participants. Reactivate them first from their Access tab.

  • The count in the confirmation is lower than the number ticked. Participants who already had every chosen supporter or group are not counted.

  • Nothing happens when I click the action button. No supporter or group has been picked yet, or no participant is ticked. The button is disabled until both are set.

  • Batch Actions only add. To remove a supporter or a group from a participant, open their profile, Edit Profile & Settings, then the Access tab for supporters or Group Settings for groups.

  • There is no limit on how many participants you can select.

FAQ

Who can use Batch Actions?
Super Admins and General Admins always can. Other roles need the edit permission of the Team module for Assign Supporter and Add to Group, and the create permission of the Participants module for Send App Invite. If you do not see the Batch Actions dropdown, ask an administrator to check your role under Account Settings, Permissions.

Can I assign several supporters at once?
Yes. The supporter field accepts more than one team member, and every ticked participant gets all of them. The button changes to Assign Supporters when more than one is chosen.

Can I add participants to more than one group at once?
Yes. Pick as many groups as you need, and type a name to create a new group at the same time if your role can create groups. Every ticked participant is added to each group.

Do my selections reset when I go to the next page?
No. Ticks are kept as you page through the list, and the bar's "N selected" count includes every page. Apply the action once at the end. Cancel clears everything.

Can I remove supporters or groups in bulk?
No. Batch Actions only add. Remove a supporter from the participant's Access tab under Edit Profile & Settings, and remove a group from their Group Settings tab.

Why can I not tick some participants for Send App Invite?
Only participants who have not joined the app and have a real email address qualify. Participants who already accepted, or who were added without an email, are greyed out for this action.

Does the Send App Invite batch action work on CRP accounts?
No. CRP accounts do not invite participants to the mobile app, so the action is not offered there. Assign Supporter and Add to Group work normally.

What happens if I cancel?
Batch mode closes, every tick is cleared, and nothing is changed. Deselect All clears the ticks but keeps batch mode open.
