The badge at the end of each row on Team Members tells you whether a person can use Equip. Active means they can sign in (web access and mobile access permitting). Inactive means they once accepted an invitation but an administrator has since deactivated them. Invited means an invitation email was sent and has not been accepted. Not Invited means they were imported without an invitation email and have never had one. Only Active team members count toward your team member seats.
Where to see statuses
Select your profile photo or initials in the top-right corner, then Team Members.
Read the badge at the end of each row, or sort the list by Status.
To narrow the list, select Filter and choose a Status: Active, Inactive or Pending. Pending covers both Invited and Not Invited.
The Team Members link opens the list filtered to Active and Pending. Inactive team members are hidden until you choose Inactive in the Status filter.
What each status means
Active
The person's membership in your account is on. They can sign in on the web if their role has web access, and on the mobile app if mobile access is enabled.
How it happens: they accepted an invitation, or an administrator added them with Send Invite Email switched off, or an import row set status to active.
A team member added without an invitation email shows Active even though they have no login yet. Their row menu still offers Send Invitation or Resend Invite.
Invited
An invitation email was sent and has not been accepted. The link is valid for two weeks.
They cannot sign in until they accept. Resend from the row menu if the link expired or the email was lost.
Not Invited
The person exists in Equip but has never been sent an invitation. This happens when supporter-type roles are imported with Send Invite Email off and no status column.
They cannot sign in. Open the row menu and select Send Invitation when they need access.
Inactive
An administrator set the person's Status to Inactive on their Access tab after they had accepted an invitation.
They cannot sign in on the web or mobile. Their notes, assignments and history stay. See Should I deactivate or delete a team member?
Limits and what the errors mean
An inactive administrator sees "Invalid email or password." when signing in, and an inactive supporter sees "Please download the Equip application to manage your account." Both mean the login is deactivated. Set their Status back to Active to restore access.
An Active supporter sees "Please download the Equip application to manage your account." Their role does not have web access. Turn on Web Access Enabled on their Access tab.
An Invited person's link no longer works. Invitations expire after two weeks. Resend it from the row menu.
Someone shows Active but says they cannot sign in. They were probably added without an invitation email and never got one. Use Send Invitation or Resend Invite in their row menu.
You cannot see the Status field on your own profile. The Access tab, including Status, is only shown when editing someone else. You cannot deactivate yourself.
FAQ
What is the difference between Not Invited and Invited?
Not Invited means no invitation email has ever been sent, which only happens after an import with Send Invite Email off. Invited means an email went out and the person has not accepted it yet. Both can be fixed by sending the invitation from the row menu.
Does Active always mean the person can use the web app?
No. Active means their membership is on. Supporter-type roles also need Web Access Enabled on their Access tab to use the web app, and anyone needs Mobile Access Enabled to use the mobile app.
Why does a team member show Active when they never received an invitation?
Because they were added with Send Invite Email switched off, which makes them Active immediately so they can be assigned to participants. Send the invitation from their row menu when they need a login.
Where did my inactive team members go?
The Team Members link opens the list filtered to Active and Pending. Select Filter, choose Inactive under Status, and they reappear.
Can I set myself to Inactive?
No. The Access tab is not available on your own profile. Another administrator has to change your status.
Do Invited or Inactive team members count toward my seats?
No. Equip counts only Active team members: active administrators plus active supporters with web access. Deactivating someone frees their seat straight away.
How do I know who still needs to accept?
Select Filter on Team Members and choose Pending under Status. That lists everyone who is Invited or Not Invited.
