Turn on calendar event syncing for your account

In Account Settings, open Calendar Settings, turn on Auto-Enable Event Syncing for New Users and Enable for Everyone, then Save; syncing only works for users who sign in with Google or Microsoft.

Open Account Settings, click Calendar Settings, turn on Auto-Enable Event Syncing for New Users, turn on Enable for Everyone if you also want existing users switched on, and click Save. Event syncing pushes Equip events to a user's own Google or Microsoft calendar. It only works for users who sign in to Equip with Google or Microsoft, and it only exports: Equip never imports events from an outside calendar, so keep the Equip calendar as your source of truth.

Who can do this, and where

  • Account settings are on the web app only.

  • You need to be an account administrator, or have a role with edit access to account settings.

  • The Calendar Settings tab appears only when at least one single sign-on provider is turned on under Account Settings, then Authentication, under SSO Providers. Without Google or Microsoft sign-in there is nothing to sync to, so the tab is hidden.

  • The tab is not available on umbrella reporting-only accounts.

Steps

  1. Click your name in the top-right corner and choose Account Settings.

  2. In the left menu, click Calendar Settings.

  3. Turn on Auto-Enable Event Syncing for New Users. The note under it reads "Automatically turn on event syncing for new users. This will apply to all new users created after this setting is enabled."

  4. A second toggle, Enable for Everyone, appears below it ("Would you like to enable everyone's event syncing now?"). Turn it on to switch syncing on for every existing team member and participant in the account.

  5. Click Save. Equip confirms with "Event settings updated successfully!"

What each toggle does

  • Auto-Enable Event Syncing for New Users is a lasting default. Every team member or participant added after you save it starts with Enable Event Syncing turned on in their own settings.

  • Enable for Everyone runs once, when you click Save. It turns on Enable Event Syncing for every user who already exists. The toggle shows as off again the next time you open the page; that is expected, and existing users keep the setting.

  • Either way, a user's own setting can still be changed later: open their profile, click Edit Profile & Settings, open the Calendar Settings tab, and use Enable Event Syncing. That toggle is only shown for users who sign in with Google or Microsoft.

When events actually sync

Equip pushes an event to a user's calendar only when all three are true:

  • The user signs in to Equip with Google or Microsoft single sign-on, not with an email and password.

  • Equip holds a calendar connection for them, which is created when they sign in with that provider.

  • Enable Event Syncing is on for them, either through this account default or on their own Calendar Settings tab.

When those hold, Equip creates the event in their calendar when they are added as an attendee, updates it when the event's details change, and removes it when they are removed from the event.

Limits and gotchas

  • Equip exports only. Events created in Google or Outlook do not appear in Equip. There is a spreadsheet import for events on the Events page, but that is not a calendar connection.

  • Turning on the account setting for a user who signs in with an email and password has no effect until they sign in with Google or Microsoft.

  • If a user needs their Equip schedule in a calendar app without single sign-on, use Calendar Subscription on their Calendar Settings tab (Subscribe in Calendar App) when that feature is enabled for your account. It is a read-only feed that any calendar app can subscribe to.

  • Enable for Everyone switches on syncing for every user in the account, including participants. Turn it off for individuals afterwards from their own Calendar Settings tab if needed.

FAQ

Why can't I find Calendar Settings in Account Settings?
The tab only appears once a single sign-on provider is enabled. Open Account Settings, click Authentication, and turn on Google or Microsoft under SSO Providers. Calendar Settings then appears in the left menu.

I turned on Enable for Everyone and it is off again. Did it work?
Yes. Enable for Everyone is a one-time action that runs when you click Save and switches every existing user on. The toggle resets afterwards. To confirm for one person, open their profile, click Edit Profile & Settings, and check Enable Event Syncing on their Calendar Settings tab.

Why don't events show up in a team member's Google or Outlook calendar?
Syncing requires that they sign in to Equip with Google or Microsoft, and that Enable Event Syncing is on for them. A user who signs in with email and password has no calendar connection, so nothing is pushed even when the setting is on. Also check they are actually an attendee on the event.

Does Equip import events from Google Calendar or Outlook?
No. Syncing is one direction, from Equip to the connected calendar. Create and edit events in Equip and let them flow out.

Can I turn syncing on for one person only?
Yes. Open their profile, click Edit Profile & Settings, open the Calendar Settings tab, turn on Enable Event Syncing and click Save. The account-level toggles are only defaults.

Does the account setting change users who already exist?
Not on its own. Auto-Enable Event Syncing for New Users applies to users created after you save it. Use Enable for Everyone at the same time to switch on everyone who already exists.

What is the difference between event syncing and a calendar subscription?
Event syncing writes each Equip event into the user's Google or Microsoft calendar and needs single sign-on. A calendar subscription is a read-only feed link the user adds to any calendar app, with no sign-in requirement, and is offered on their Calendar Settings tab when that feature is enabled for your account.
