Reset your password

Reset a forgotten Equip password from the sign-in page or the mobile app, change it while signed in, and know when SSO means there is no password to reset.

Written by Trent Kocurek

If you sign in to Equip with an email address and password, reset it yourself from the sign-in page: enter your email, select Next, then select Forgot your password?. Equip emails you a link that works for 6 hours; follow it and choose a new password of at least 12 characters. If your account signs in with Google or Microsoft, there is no Equip password to reset. Use the Sign in with Google or Sign in with Microsoft button instead.

Who can do this, and where

  • Anyone with an Equip login can reset their own password, from the web sign-in page or from the sign-in screen of the Equip mobile app. Both send the same email, and the link always opens in a web browser.

  • Administrators cannot set or reset another person's password. There is no password field on anyone else's profile. An administrator can confirm the email address on file, check that the person is Active, and resend an invitation.

  • Participants reset their password the same way. After the reset they are sent to the mobile app download page instead of the web app, because participants sign in on mobile only.

Reset a forgotten password on the web

  1. Go to the Equip sign-in page.

  2. Enter your email address and select Next.

  3. Select Forgot your password?, below the password field. The link appears only when your account allows password sign-in.

  4. On the Reset password page, enter the same email address and select Send Reset Instructions. Equip confirms with "You will receive an email with instructions on how to reset your password shortly."

  5. Open the email from Equip and follow the reset link.

  6. On the Set new password page, enter a New password (12 characters minimum), repeat it in Confirm new password, and select Change my password.

  7. Team members are signed in to the web app right away with "Your password has been changed successfully. You are now signed in!". Participants see "Your password has been changed successfully." and are taken to the app download page; open the Equip mobile app and sign in there.

Reset a forgotten password from the mobile app

  1. Open the Equip mobile app and enter your email address.

  2. Select Forgot password? on the sign-in screen.

  3. The app confirms with "Please check your email for instructions on resetting your password!".

  4. Open the email and follow the link. It opens the Set new password page in your browser.

  5. Choose a new password, then return to the app and sign in with it.

Change your password while signed in

  1. Select your profile photo or initials in the top-right corner and choose My Profile.

  2. Open the Authentication tab.

  3. Under Email Address & Password, enter a New Password and repeat it in Confirm New Password.

  4. Select Save. Equip confirms with "Authentication settings saved successfully!".

The password fields appear only on your own profile and only when your login uses a password. Team members who sign in with Google or Microsoft do not see them.

Limits and what the errors mean

  • Password rules. 12 to 128 characters. There is no other complexity rule. "Password is too short (minimum is 12 characters)" and "Password confirmation doesn't match Password" mean exactly that.

  • The reset link works for 6 hours and for one use. "Reset password token has expired, please request a new one" means the 6 hours have passed. "Reset password token is invalid" means the link was already used or was copied incompletely. Request a new one from the sign-in page.

  • "Email not found" on the Reset password page means no Equip login uses that exact address. Check the spelling, or ask an administrator which email is on your profile.

  • Reset request limits. Equip accepts 2 reset requests per email address every 15 minutes, and 5 per network connection every 5 minutes. Past that, the page answers "Too many requests. Please try again later." Wait, then try once more rather than resubmitting.

  • Sign-in attempt limits. After 5 sign-in submissions for the same email address within 5 minutes, further attempts are refused for the rest of that window with the same "Too many requests" message. An account that shows "Your account is locked." unlocks by itself after 1 hour.

  • "You can't access this page without coming from a password reset email" appears if you open the Set new password page without a link. Start again from Forgot your password?.

  • Forgot your password? is missing. The link and the password form are hidden when the account has Require SSO Login turned on. Everyone on that account signs in with Google or Microsoft, and a password would not be accepted anyway.

  • "Your account requires SSO to login." appears after you enter a password if your last sign-in was with Google or Microsoft. Use the provider button on that page. Resetting your password switches your login back to email and password, but only helps when Require SSO Login is off for your account.

  • A reset does not activate you. If you have not accepted your invitation, or an administrator set you to Inactive, a new password does not get you in. An inactive team member sees "Invalid email or password." on the sign-in page even with the right password.

  • Two-factor authentication. If you turned it on under your Authentication tab, Equip emails a verification code after your password: "A verification code has been sent to your email." The code expires after 5 minutes. Five wrong codes block two-factor sign-in for 15 minutes with "Too many failed attempts. Please try again in 15 minutes." Recovery codes work when you cannot reach your email, and choosing to remember the device skips the code in that browser for 30 days.

FAQ

Why don't I see "Forgot your password?" on the sign-in page?
It only appears after you enter your email and select Next, and only when your account lets people sign in with a password. If your organization turned on Require SSO Login, the password form and the reset link are hidden. Sign in with the Google or Microsoft button shown on that page instead.

I requested a reset but no email arrived. What now?
Check spam and quarantine folders first. Equip sends the email only when the address matches an Equip login exactly, so confirm the address with an administrator; it is shown on the Team Members list and on your profile's Authentication tab. Equip allows 2 requests per address every 15 minutes, so wait before requesting again, and always use the newest email because each link expires after 6 hours.

Can an administrator reset a password for a team member or participant?
No. Equip has no administrator-side password reset, and the New Password fields only appear on a person's own Authentication tab. An administrator can confirm the email on file, check that the person's Status is Active on the Access tab, and use Resend Invite, Send Invitation, or Send App Invite when the person never accepted their invitation.

I never accepted my invitation. Should I reset my password instead?
No. Use the invitation email; it sets your password and activates your access in one step. If you cannot find it, select "Didn't receive confirmation or invite instructions?" on the sign-in page, enter your email, and select Resend Email; Equip sends the invitation again. A password reset does not activate an invited team member, so you would have a password and still be unable to sign in.

I used to sign in with Google or Microsoft. Can I switch to a password?
Yes, when Require SSO Login is off for your account. Request a password reset, set a new password, and Equip switches your login method back to email and password. If Require SSO Login is on, keep using the provider button; Equip hides the password form for everyone on the account.

Does resetting a password reactivate an inactive user?
No. Status is separate from the password. An administrator reactivates a person from the Access tab of their profile by setting Status to Active and selecting Save Changes. Until then, sign-in answers "Invalid email or password." for a team member no matter which password is used.

I am a participant. Why was I sent to a download page after changing my password?
Participants use the Equip mobile app, not the web app. After the reset, open the app and sign in with your email and the new password. If the app says your account cannot be found or access is blocked, ask your program to check that Mobile Access Enabled is on under the Access tab of your profile.

Equip asked me for a verification code after my password. Where does it come from?
You turned on two-factor authentication on the Authentication tab of your profile. Equip emails a code each time you sign in from a browser you have not asked it to remember. Enter the code within 5 minutes. If you cannot get the code, use one of the recovery codes you saved when you turned it on.
