Authorizers are the funders and payers you bill. Open Pathways, then Authorizations in the left sidebar and click Manage Authorizers, then Add Authorizer, fill in the Name, Account Number, Phone, Email and address, and click Create Authorizer. Saved authorizers appear in the Bill To list when you generate an invoice, in the Authorizer dropdown on an authorization, and as a filter on the Pathway Invoices report. The name, account number and address print in the Bill To block of the invoice PDF.
Participants are labelled Clients, Students, Residents or Explorers depending on the account type. This article calls them participants.
Who can do this, and where
Web app only.
Manage Authorizers needs a role that can edit account settings. Account owners always can; a custom role needs its account settings permission set to edit.
Reaching the Pathways, then Authorizations page needs the Pathway Authorizations module at Supporter or higher.
Authorizers exist only with the invoicing feature. Invoicing is turned on for your account by the Equip team, on top of Pathway Authorizations. If you do not see Manage Authorizers on the Authorizations page, ask us to enable it.
Steps
Open Pathways, then Authorizations in the left sidebar.
Click Manage Authorizers at the top right. A slide-over lists the existing authorizers.
Click Add Authorizer. A blank card appears.
Enter the Name. It is required and must be unique in your account. Add the Account Number, Phone and Email if the payer uses them.
Fill in Address One, Address Two, City, State and ZIP Code for the billing address.
Click Create Authorizer. The card collapses into the list.
To edit, open the authorizer's card in the same slide-over, change the fields and click Update Authorizer. To delete, click the trash icon on the card, labelled Delete authorizer, and confirm "Are you sure you want to delete this authorizer? It will be permanently removed and this action cannot be undone."
Where authorizers are used
Bill To on Generate Invoice and Edit Invoice. The list is preselected with the authorization's Authorizer when one is set. The PDF prints "Bill To" with the name, and the account number and address when they are filled in; ATTN is typed on the invoice itself and defaults to the authorization's Counselor.
Authorizer on an authorization, on the progress form under Add Authorization and on Edit Authorization. The dropdown only appears once at least one authorizer exists.
The Authorizers filter and Authorizer Name column on the Pathway Invoices report.
Limits and what the errors mean
Name has already been taken: another authorizer in your account has that name. Edit the existing one instead.
Name can't be blank: the name is the only required field.
Deleting an authorizer does not delete anything else. Authorizations and invoices that pointed at it keep all their other data but lose the authorizer: an invoice already generated keeps its PDF as it was, and regenerating it prints no Bill To block until you pick another authorizer with Edit Invoice.
Editing an authorizer changes what prints on invoices generated or regenerated after the change. Existing PDFs are not rebuilt.
Authorizers are shared by the whole account. There is no per-pathway or per-participant list.
FAQ
Where do I add a new payer or funder for invoices?
Open Pathways, then Authorizations, click Manage Authorizers and then Add Authorizer. Enter the name, account number, contact details and address and click Create Authorizer. It is then offered in Bill To on every new invoice.
Why can't I see Manage Authorizers?
It only shows when invoicing is on for your account and your role can edit account settings. Ask an account owner to add the authorizer, or to give your role the account settings edit permission.
What appears on the invoice from the authorizer?
The Bill To block prints the authorizer's name, its account number as "Account #" when filled in, and its address. The ATTN line comes from the invoice's own ATTN field, not from the authorizer.
Can I edit an authorizer after invoices have used it?
Yes. Open Manage Authorizers, change the card and click Update Authorizer. Invoices you generate or regenerate afterwards use the new details; PDFs already generated stay as they were.
What happens if I delete an authorizer that invoices are using?
The invoices and authorizations stay, with the authorizer field emptied. Existing PDFs are unchanged, but an invoice you later edit and regenerate prints no Bill To block until you choose another authorizer.
Can I set a default authorizer for a participant?
Set the Authorizer on the participant's authorization, on the progress form under Add Authorization or on Edit Authorization. Every invoice generated from that authorization then starts with it selected in Bill To.
