Pathway date fields are set up under Settings, then Pathways under Module Properties, on the Dates tab. Every account starts with Receive Date and Meeting Date. Click Add Date Field to add milestones between them, such as Staffing Date or First Contact Date, drag to reorder them, and give each a Days Between Goal. The fields then appear on Start Pathway and Update Progress for every pathway, on the progress's View Details header, and as filters and goal columns on the Pathway Progress and Staff Utilization reports.
Participants are labelled Clients, Students, Residents or Explorers depending on the account type. This article calls them participants.
Who can do this, and where
Web app only. The mobile app can fill in the configured dates on an existing pathway progress but cannot change the fields.
Anyone whose role can view account settings can open the page. Adding, editing, reordering and deleting fields needs a role that can edit account settings, which account owners always can.
Date fields are one list for the whole account and apply to every pathway. They cannot be set per pathway.
The page only exists once Pathways is on for your account, and it is not offered on umbrella accounts. Pathways is turned on for your account by the Equip team. If you do not see Pathways under Module Properties, ask us to enable it.
Steps to add a date field
Open Settings, then Pathways under Module Properties. The Dates tab is selected.
Click Add Date Field.
Enter the Date Field Name. This is the label team members see on the progress form.
Optionally enter a Days Between Goal: the target number of days between this date and the date before it in the list.
Click Create Date Field. The field is inserted just above Meeting Date.
Steps to edit, reorder or delete a field
Edit: open the row menu and choose Edit, change the Date Field Name or Days Between Goal, and click Update Date Field. Receive Date has no goal; Meeting Date has both a Days Between Goal and a Total Days Goal, the target number of days from Receive Date to Meeting Date.
Reorder: drag a custom field by its handle. Receive Date stays first and Meeting Date stays last; they cannot be dragged, and a custom field cannot be dropped outside them.
Delete: open the row menu and choose Delete. The confirmation reads "Are you sure you want to delete this date field? This will remove all recorded values and cannot be undone." Receive Date and Meeting Date cannot be deleted.
Where the dates appear
Start Pathway and Update Progress show the fields in the order set here, two per row. Receive Date defaults to today on a new pathway progress; the rest start blank.
The View Details header shows each date as a tile, with "--" where a date is empty.
The Pathway Progress report offers a date-range filter for every configured field and adds a "Days Between" column and a "Goal: A to B" column for each consecutive pair, plus Receive Date to Meeting Date against the Total Days Goal.
The Staff Utilization report offers the same filters and goal columns.
Limits and what the errors mean
Label has already been taken: two fields cannot share a name.
A custom date field that already has values recorded on any pathway progress cannot be deleted. Choosing Delete on it closes the confirmation and the field stays in the list, without a message. Rename it instead, or clear its value on every progress first.
A field with no recorded values deletes immediately and permanently.
Renaming a field renames it on every pathway progress and report that shows it; values are kept.
Days Between Goal and Total Days Goal must be at least 1. They only affect report columns; the progress form does not warn when a goal is missed.
Dates are recorded per pathway progress. Starting a second round of a pathway starts with blank dates again.
FAQ
Can I add my own pathway date fields?
Yes. Open Settings, then Pathways under Module Properties, and click Add Date Field on the Dates tab. Give it a name and, if useful, a Days Between Goal, then click Create Date Field. It appears on every pathway's progress form straight away.
Can I rename or delete Receive Date and Meeting Date?
You can rename them with Edit on their row. They cannot be deleted or moved: Receive Date is always first and Meeting Date always last, so every pathway keeps a fixed start and end milestone.
Why does Delete not remove my custom date field?
The field already has dates recorded on at least one pathway progress, and Equip refuses to delete recorded values. The confirmation closes and nothing changes. Rename the field to retire it, or clear its value on each progress with Update Progress and delete it afterwards.
Can different pathways have different date fields?
No. The list is account-wide and every pathway shows all of it. Leave a field blank on the pathways where it does not apply; blank dates print as "--" and are ignored by the goal columns.
Where do team members enter these dates?
On Start Pathway and Update Progress on the participant's Pathways tab, above the Pathway Steps section, and on the mobile app when updating an existing pathway progress.
Do the dates show in reports?
Yes. The Pathway Progress and Staff Utilization reports offer a date-range filter for each configured field and add Days Between and Goal columns for each consecutive pair of dates.
What does Days Between Goal do?
It is the target number of days between that date and the one before it in the list, and it prints next to the actual days between them on the Pathway Progress and Staff Utilization reports. Order matters: reordering the fields changes which date each goal is measured from.
