Pathway Dates let organizations configure the milestone dates used to track pathway progress. Instead of relying only on default pathway dates, teams can define the dates that match their process, organize those dates in the correct order, set timing goals, and use the same fields when updating pathway progress records and running reports.
This feature is useful for teams that need to monitor each stage of a pathway timeline, such as intake, staffing, first contact, review, meeting, or other organization-specific milestones.
📍 How to Access Pathway Date Settings
Open Equip.
Open Account Settings.
In the left-side navigation, find Module Properties.
Select Pathways.
The Pathway Dates page displays the date fields available for pathway progress records.
Users must have permission to manage account-level pathway settings in order to create, edit, reorder, or delete pathway date fields.
⚙️ How Pathway Dates Work
Pathway Dates control the date fields shown when a pathway progress record is started or updated for a participant. Each configured date represents a milestone in the pathway timeline.
Equip includes two default pathway dates:
Receive Date — The first date in the pathway timeline.
Meeting Date — The final date in the pathway timeline.
Receive Date always stays first, and Meeting Date always stays last. Custom date fields can be added between those two default dates and ordered to match the organization’s workflow.
➕ Add a New Date Field
Go to Account Settings > Module Properties > Pathways.
Select Add Date Field.
Enter a Date Field Name. This is the label users will see when updating pathway progress.
If applicable, enter a Days Between Goal. This is the target number of days between this date and the previous date in the pathway timeline.
Select Create Date Field.
New custom date fields are added to the pathway timeline and can be reordered after they are created.
✏️ Edit an Existing Date Field
Go to the Pathway Dates page.
Find the date field you want to update.
Open the field’s action menu and select Edit.
Update the Date Field Name, Days Between Goal, or available goal settings.
Select Update Date Field.
Default date fields can be edited, but their positions are fixed: Receive Date remains first and Meeting Date remains last.
↕️ Reorder Date Fields
Custom date fields can be reordered to match the sequence of the pathway process.
Go to Account Settings > Module Properties > Pathways.
Use the drag handle next to a custom date field.
Move the field into the correct position.
The order matters because Days Between Goal compares a date field to the date field immediately before it in the pathway timeline.
🎯 Goal Settings
Days Between Goal — Sets the target number of days between one milestone and the previous milestone. For example, if First Contact Date should happen within 5 days of Receive Date, enter 5.
Total Days Goal — Available for Meeting Date. This sets the target total number of days from Receive Date to Meeting Date.
These goals help teams understand whether pathway progress is moving on schedule and where delays may be occurring.
📝 Where Pathway Dates Appear
Configured date fields appear when starting or updating a participant’s pathway progress record. The pathway progress form displays the configured date fields in the order set on the Pathway Dates page.
For example, if your organization configures Receive Date, Staffing Date, First Contact Date, and Meeting Date, those dates appear as milestone fields when updating pathway progress.
📊 Reporting
Configured pathway dates are also available as date-range filters in pathway reporting where supported. This makes it easier to run reports based on the milestone dates that matter to your team.
For example, teams can filter pathway progress by date ranges such as Receive Date Range, Staffing Date Range, First Contact Date Range, or any other configured pathway date.
✅ Benefits
Align Equip with your workflow — Track the milestones your organization actually uses.
Create clearer pathway timelines — Keep all major progress dates visible in one place.
Measure timeliness — Use goal fields to compare actual timing against expected timelines.
Improve reporting — Filter pathway reports using the same milestone dates your team tracks day to day.
Standardize processes — Give staff a consistent set of date fields across pathway progress records.
💡 Best Practices
Use short, clear names that match the language your team already uses.
Order custom date fields in the same sequence the work should happen.
Set Days Between Goal values for milestones with clear timing expectations.
Use Total Days Goal on Meeting Date when your team tracks the full timeline from intake to meeting.
Avoid creating duplicate fields for the same milestone. Rename or edit an existing field when possible.
Review pathway reports regularly to identify bottlenecks or steps that are taking longer than expected.
❓ FAQs
Can I add my own pathway date fields?
Yes. Use Add Date Field on the Pathway Dates page to create organization-specific milestone dates.
Can I rename default date fields?
Yes. Default date fields can be edited, but Receive Date remains first and Meeting Date remains last.
Can I delete default date fields?
No. Default date fields are protected so each pathway has a consistent start and end point.
Can I delete custom date fields?
Yes, when available from the field’s action menu. Be careful before deleting a field because recorded values for that field may be removed and cannot be recovered.
Can I reorder date fields?
Yes. Custom date fields can be reordered using drag-and-drop. Receive Date and Meeting Date keep their fixed positions.
Why does field order matter?
Field order determines the pathway timeline and affects how Days Between Goal is interpreted, because that goal compares a date field to the previous date field.
Where will staff enter these dates?
Staff enter configured pathway dates when starting or updating a participant’s pathway progress record.
Do configured dates appear in reports?
Yes. Configured pathway dates are available as date-range filters in pathway reporting where supported.
