Creating User Custom Fields

Learn how to create, manage, and use User Custom Fields for Participants and Team Members in Equip.

User Custom Fields let account administrators collect organization-specific information on Participant and Team Member profiles. These fields are managed from Account Settings and appear on user profiles based on the selected Location and User Type.


📄 How It Works

Create User Custom Fields when your organization needs to track information that is not included in Equip’s standard profile fields.

  1. Go to Account Settings.

  2. Open Data Properties.

  3. Select User Fields.

  4. Select Add Custom Field.

  5. Enter a Field Name.

  6. Choose the Field Type.

  7. Choose the Location where the field should appear on the user profile.

  8. Choose the User Type: All Users, Participant, or Team Member.

  9. Select Create Custom Field.

After the field is created, it appears in the matching section when editing a Participant or Team Member profile. Saved values appear on the user’s profile when a value has been entered.


🔐 Access and Permissions

  • Creating and managing fields — User Custom Fields are configured from Account SettingsData PropertiesUser Fields. Users need access to manage account settings to create, edit, reorder, or delete these field definitions.

  • Entering field values — Staff with permission to edit the relevant Participant or Team Member profile can enter values for fields that already exist.

  • Important distinction — A user may be able to update a profile without being able to create or manage the custom fields available on that profile.


⚙️ Field Types

  • Text — Free-text information such as IDs, labels, or notes.

  • Number — Numeric values that may need number-based filtering.

  • Date — Dates such as review dates, certification dates, or target dates.

  • True/False — Yes/no-style information.

  • Select — One choice from a predefined list.

  • Multi Select — More than one choice from a predefined list.

When using Select or Multi Select, add the available choices in Options. Options can be reordered before saving.


📍 Where Fields Are Found

  • Account SettingsData PropertiesUser Fields — Create, edit, reorder, or delete User Custom Fields.

  • Participant profiles — Fields appear in the selected profile section when User Type is All Users or Participant.

  • Team Member profiles — Fields appear when User Type is All Users or Team Member. Some Participant-specific locations may display under Additional Information for Team Members.

  • Reports — User Custom Fields can appear in user detail reports and can be used as report filters when applicable.

💡 Best Practices

  • Use clear field names so staff know exactly what to enter.

  • Use Select or Multi Select when you want consistent report values.

  • Choose the most specific User Type that fits the field.

  • Review fields before deleting them. Deleting a custom field removes the data collected for that field.

Where do I create User Custom Fields?
Go to Account SettingsData PropertiesUser Fields, then select Add Custom Field.

Can a field apply to both Participants and Team Members?
Yes. Set User Type to All Users. Use Participant or Team Member when the field should only appear for one user type.

Can I change a field later?
You can edit field details from User Fields. Once a field has saved values, changes that would reinterpret existing data may be limited.

What happens when I delete a field?
Deleting a field removes the field and the data collected for that field. This cannot be undone.

Do User Custom Fields appear in reports?
Yes. Applicable User Custom Fields can appear in user detail reports and can be used as filters.
